Our Property Lovers office is seeking a diligent and proactive Project Administrator to work closely with our team Leads, across the multiple business units, to administrate their day-to-day project requirements.
Roles & Responsibilities:
- Facilitate administrative services related to core projects and programs, breaking down projects into manageable tasks with clear timeframes and goals.
- Schedule regular meetings and record decisions, such as assigned tasks and planning.
- Strategize business and organizational challenges with the executive team and external stakeholders.
- Analyze and evaluate current systems and structures, consulting with the COO on matters requiring escalation.
- Oversee the processing of invoices and purchase orders, and order necessary resources, such as equipment and software.
- Consolidate findings from project analyses and report on outcomes.
- Manage project documentation, update workflows, and conduct risk analyses.
- Act as the point of contact for all stakeholders.
- Assist management in monitoring project progress and addressing potential issues.
- Coordinate quality controls to ensure deliverables meet requirements.
- Assist with the coordination of internal teams and external stakeholders to retrieve necessary information (e.g., user/client requirements and relevant project studies).
- Track expenses, predict future costs, and discuss them with the executive team.
About You:
· Minimum of 2 years’ experience in a similar position.
· Great interpersonal and communication skills both written and verbal.
· Proactive and well-organised.
· Great attention to detail & high level of accuracy while working in a fast-paced working environment.
· Proficient skills in Microsoft Office Applications (Outlook, Word, Excel), as well as a willingness to learn our in-house software system and work with this daily.
· Ability to work autonomously and demonstrates initiative.
