The Role:Project Contract Administrator – Site Engineer
Ace is proud to be part of the Melbourne Metro Rail Project. This significant infrastructure initiative is pivotal for the City of Melbourne, and we are committed to delivering it with excellence. We are now seeking the final member of our construction team to help us achieve this milestone.
We are looking for a dynamic and versatile individual to take on the role of Project Contract Administrator – Site Engineer. This hybrid position requires a blend of on-site presence and contract management expertise. The successful candidate will spend time on-site daily to stay updated on construction progress, working closely with site supervisors, Site Engineers, and project engineers. Additionally, they will administer contracts with clients and subcontractors.
Key Responsibilities Include:
- Contract Compliance: Ensure all project staff understand and comply with commercial requirements in contracts with clients and subcontractors.
- Risk Management: Implement strong contract, commercial, and financial risk management practices.
- Support and Dispute Resolution: Manage project commercial tasks and support project teams on contractual issues and disputes.
- Relationship Management: Maintain and strengthen relationships with contractors and internal stakeholders, monitoring contract performance.
- Site Collaboration: Regularly attend the site to stay informed about progress and support the project team.
- Project Updates: Provide weekly updates using Microsoft Project to ensure accurate and up-to-date project timelines.
- Documentation: Prepare and issue Variations, Extensions of Time (EOTs), Notices of Delay (NODs), and other contractual notices or claims.
- Register Management: Compile and manage project commercial registers.
- Reporting Structure: The Contract Administrator will report primarily to the Senior Project Manager and the Site Project Manager.

To be considered for this role, you will need to have the following:
- Experience: Extensive contract, commercial, and management experience (scope, cost, schedule, and risk), preferably on major construction projects.
- Construction Contracts: Proven experience in handling construction contracts.
- Contractual Principles: Solid understanding of the principles of contracts, business ethics, and the contractual/commercial principles adopted within the industry.
- Communication Skills: Excellent communication and negotiation skills.
- Complex Projects: Experience with large, technically complex works packages.
- Commercial Acumen: Strong commercial awareness in cost management and contract management.
- Negotiation Skills: Demonstrated ability to manage commercial negotiations effectively.
- Document Control: Awareness and compliance with document control and records management procedures.
- Workflow Management: Experience managing all aspects of workflow and contracts regarding construction projects, including RFIs, Change Orders, and POs.
