Your new role
A Project Coordinator is responsible for ensuring project processes are developed and maintained, and that all information and documentation including specifications, asset details and works budgets are accurate and recorded – including the preparation and maintenance of client and project job packs, work orders, completion of works, progress supplier invoices and schedule updates on Pronto system. Your main duties and responsibilities will be:
- Responsible for all project delivery documentation including technical specifications, equipment asset details, budgets orders, work orders, completion of works, progress payments supplier invoices and schedule.
- Engagement with key stakeholders is essential, which will include scheduling regular meetings with Project/Construction Managers using video conferencing technology, and recording decisions, assigned tasks, and tracking next steps.
- Monitor job status for every project, from inspection, quotation/ proposals, contractual agreement, budget approvals, variance approvals, work and purchase orders, progress payments, completion of works - including quality assurance,
- Preparation and co-ordination of quotes, budgets and purchase orders for approval and distribution to clients and subcontractors.
- Develop and maintain mutual relationships of value with customers and subcontractors to ensure a high level of customer service is delivered.
- Responsible for new subcontractors onboarding and prequalification process using Rapid Induct.
- Ensure all subcontractors have up-to-date licences, insurances and accreditation checks using Rapid Induct.
- You will be expected to be a WHS champion and will participate in monthly toolbox talks on site as required.
What you'll need to succeed
To be successful in this role, you will need to have experience in a Project Admin/Project Coordination or similar related position in the Construction or Facilities Management industry preferably. Pronto Software, is desired. (Service, Project, contract Module).
