Key Responsibilities:
- Accounts Management:
- Accounts payable and receivable.
- Payroll processing.
- Invoicing and tracking job costs.
- Allocating Ezzybills invoices to correct jobs.
- Project Scheduling and Coordination:
- Scheduling projects in Ascora and converting won projects to jobs.
- Updating project schedules to accommodate site and schedule adjustments.
- Pre-booking projects and liaising with team members to ensure adherence to schedules.
- Forecasting project requirements and booking necessary resources.
- Assisting the Supervisor in material orders and acting as the main contact for team members.
- Administrative Support:
- Typing up quotes.
- Assisting with new employee onboarding, including creating starter packs and employment contracts.
- Office meeting preparation, including food and agenda arrangements.
- Take photos of job progression.
- General office upkeep.
- Client and Team Liaison:
- Communicating with builders and updating them on project bookings and adjustments.
- Creating and managing SWMS for each project and uploading them to builder portals.
- Conducting background searches on subcontractors and builders.
- HR Support:
- Following up on staff licenses and renewals.
- Sending updated insurance and licenses to builders.
- Assisting new staff to settle in and conducting site visits to check on staff and update schedules.
- Development and Improvement:
- Creating manuals, systems, and documents to streamline job roles.
- Notifying management of issues and planning resolutions.
- Completing required courses (e.g., White Card and SWMS courses).
- Exceptional organizational skills.
- High-level proficiency in Excel and Microsoft Office Suite.
- Experience with Xero accounting software.
- Excellent written and verbal communication skills.
- Ability to work independently and within a team.
- Self-motivated and proactive.
- Confident in approach to work and interactions with people.
- Experience in the construction industry is essential.
- Preferable experience in contracts administration and project coordination.
- Master Ascora software within 4 weeks.
- Become a Champion of Ascora within 3 months.
- Complete White Card and SWMS courses within 3 months.
- Confidently schedule projects with the Supervisor within 1 month.
- Introduce new procedures and manuals within 6 months.
- Independently handle job role responsibilities within 6 months.
- Develop problem-solving skills and implement solutions within 6 months.
- Weekly meetings with management.
- Monthly meetings with owners.
- Biannual review meetings.
- Complete the White Card Course.
- Complete the SWMS course.
- Participate in any additional courses to further develop the position.
