Ventia have been the Defence Base Services (DBS) Contractor since 2014, which includes the delivery of Project Support Services (PSS) to Defence. PSS have teams based regionally supporting Defence to bring infrastructure established through project delivery into sustainment and ongoing maintenance. The PSS Northern Territory team focuses on projects delivered across the NT, including Darwin, Katherine and remote training ranges.
The Role:
This is a permanent, full time role based in Darwin, with potential travel supporting projects in Katherine, regional areas in the NT, or interstate.
As a Project Coordinator in the PSS NT Team, your primary focus will be to review deliverables prepared by Project Manager’s and Contractors to ensure compliance with Defence Estate Quality Management System (DEQMS) and facilitate the transition of infrastructure into sustainment for ongoing maintenance by Defence.
This will involve various activities throughout the Project Lifecycle in accordance with the Defence Handover Takeover (HOTO) checklist requirements. Activities will include meeting representation, documentation reviews and feedback, onsite and desktop asset validation activities, and stakeholder liaisons and engagement.
Duties & responsibilities:
Apply high standards in Health, Safety, Environment and Quality to drive a positive and safe working culture
Drive proactive and forward reaching project enabling support services, including:
support to onsite activities
attendance at site meetings
support to the development of Contract Change Proposal
through-project advice and validation
compliance with extant HOTO policy
Liaise effectively to drive outcomes with key stakeholders, internal and external to the business including Defence, Project Delivery Service providers (PDS), and Estate Maintenance and Operational Services (EMOS) teams
Align commercial outputs of project delivery to current EMOS commercial requirements and identify changes and variations to service levels.
Set strict expectations for project delivery to align with meeting HOTO deliverables in a timely manner by the PDS providers
Contribute to Regional PSS performance KPI’s and deliverables
Provide proactive and integrated solution based advised to support Defence projects and EMOS to continuously improve PSS services to all stakeholders.
Contribute to a team culture where individuals feel valued and contributions are proactive and supported across the team
What you’ll need to be successful:
Tertiary qualification and/or experience in Project Management, Engineering or Asset Management.
Demonstrated ability to negotiate outcomes and manage expectation with various Stakeholders.
Demonstrated experience in collaborative and consultative processes at a professional level with a range of stakeholders.
Demonstrated interpersonal communication skills and the ability to work as a member of a team.
Demonstrated written communication and IT skills.
An ability to work flexibly and adaptively in a complex environment with multiple stakeholders
