About the role
As a Project Officer, you will be the backbone of our project management team, providing comprehensive administrative support across a diverse portfolio of state-wide projects. Your role is pivotal in managing daily changes and juggling competing priorities with precision and adaptability.
For the first six months, this role requires on-site presence at the V/Line office. Following this period, you will have a chance to discuss flexible and hybrid working arrangements with your manager.
Key accountabilities include:
· Project Support: Assist the Project Director/Manager in overseeing a team that interfaces with multiple, large scale, high-value state and self-delivered projects.
· Project Administration: Manage projects from inception to handover, including setting up new projects in internal systems, supporting cost forecasting, and administering finances.
· Reporting: Maintain status reports, dashboards, and other tracking documentation for the project portfolio. Deliver regular reports collating data from various sources, including budget versus actuals, forecasting, claims, reconciliations, and cost reports.
· Employee Onboarding and Offboarding: Assist with the induction, setup, and training of new employees, as well as the offboarding of departing staff.
· Contract Administration: Oversee the entire lifecycle of contracts, ensuring compliance and seamless operation.
· Stakeholder Engagement: Engage and communicate with multiple internal and external stakeholders.
· Meeting Coordination: Coordinate meetings with stakeholders, create agendas, take minutes, and arrange catering.
· General Administration: Perform a variety of administrative tasks as needed to support the project team.
About you

· Proficient in providing administrative support, with a knack for prioritization and exceptional time management.
· Highly skilled in MS Excel and SharePoint, using these tools to streamline processes and enhance efficiency.
· Adept at managing multiple administrations simultaneously, working collaboratively with diverse teams, stakeholders, and priorities.
· Able to prioritize competing priorities and deadlines, ensuring that critical tasks are completed on time.
· Adaptable and open to engaging in a variety of tasks and projects, demonstrating flexibility in your approach.
· Proactive and is well developed in their organizational skills, you anticipate needs and take initiative to address them.
· Aligned to V/Line’s values of responsiveness, integrity, impartiality, accountability, respect, leadership and human rights.
Qualifications
· Certificate III in Business Administration is desirable.

Remuneration for this position will be in line with the V/Line Rail Operations and Administrative Employees Agreement 2019. We are happy to discuss salary expectations in line with skills, experience and overall suitability to the role.
Current employees are expected to remain in their role for a minimum of 12 months before applying to new positions within V/Line.
