This role resides in the Community Housing Provider (CHP) Maintenance Unit who is[HA1] [NS2] responsible for managing CHP asset-related functions, as well as lease compliance. Key activities include engagement with CHPs on various matters, triage of enquiries to Housing Portfolio teams for responses, collation and development of responses, Investigation of requests including examining leases and other agreements and ensuring that Housing Portfolio and tenants comply with all lease agreements.

This role provides high quality executive, project and administrative support, to enable the efficient and effective operation of the Business Unit.

What you'll do

In your role, you will offer comprehensive executive and secretarial support, coordinating appointments, meetings, travel (transport and accommodation), conferences, and seminars to optimise the Manager's time.

Your responsibilities involve exercising discretion, initiative, and maintaining confidentiality to support the achievement of Business Unit objectives. You will review and track incoming correspondence, such as Briefing Notes and Ombudsman Enquiries, determining appropriate actions and escalating when necessary. Additionally, providing support in financial administration, compiling reports, and preparing documentation will be crucial.

Your role extends to offering general administrative support, including the preparation of various correspondence such as letters, registers, reports, and spreadsheets to meet the Business Unit's needs. You will contribute to business system testing, acquire and analyse data, identify potential trends, and represent data graphically for inclusion in various stakeholder reports and documentation.

Lastly, you will monitor the performance of administration and project services, identifying areas for improvement, making recommendations, and coordinating approved actions to increase the efficiency of administration and project processes.

What we're looking for

  • Broad experience in providing executive, secretariat, administrative, financial and related support services.
  • Good organisational skills, the capacity to undertake and complete several tasks concurrently, maintain attention to detail and meet deadlines.
  • Intermediate MS Word, Excel and PowerPoint skills.
