The role of the Administrative Support Services team is to provide essential administrative support to all Housing Portfolio's directorates, encompassing business support, resource allocation, fleet management, and coordinating establishment changes for seamless business continuity and accurate reporting.

The purpose of this role is to provide high quality executive, project and administrative support, to enable the efficient and effective operation of the Business Unit.

What you'll do

As a Project Support Officer (Administrative Support Services), your primary responsibility is to provide executive and secretarial support to the Manager, ensuring efficient use of their time to achieve Business Unit objectives.

This involves coordinating appointments, meetings, travel arrangements, conferences, and seminars while exercising discretion, initiative, and confidentiality. Additionally, you'll review and track incoming correspondence, such as Briefing Notes and Ombudsman Enquiries, determining appropriate actions and escalating when necessary.

You'll also provide support in financial administration, compiling reports, and preparing documentation to facilitate smooth operations within the Business Unit. Furthermore, you'll offer general administrative support, assisting in preparing various correspondence, letters, registers, reports, and spreadsheets to meet Business Unit needs.

Additionally, you'll contribute to business system testing, data acquisition, and analysis, identifying potential trends and representing data graphically for inclusion in stakeholder reports and documentation.

Finally, you'll monitor the performance of administration and project services, identifying areas for improvement, making recommendations, and coordinating approved actions to enhance the efficiency of administrative and project processes.

What we're looking for

  • Broad experience in providing executive, secretariat, administrative, financial and related support services.
  • Good organisational skills, the capacity to undertake and complete several tasks concurrently, maintain attention to detail and meet deadlines.
  • Intermediate MS Word, Excel and PowerPoint skills.
