Job DescriptionAbout the role
We are seeking a Project Officer to support our Sports and recreation portfolio. Reporting to the Senior Project Director in the Civic Infrastructure team, you will be a major contributor in all the project lifecycle phases. A key to the success of this role will be strong experience in contract administration.
As a Project Officer, your key responsibilities will include:
- Provide high level administrative and Project Support to a Project Director, Senior Project Managers and other team members, including preparing relevant documentation for meetings and taking accurate minutes.
- Work with a Project Director and Senior Project Managers to establish administrative processes and ensure the group complies with all reporting, legislative and departmental requirements.
- Coordinate the production of a range of reports including, monthly project progress reports, cost reports and monthly project risk register reports.
- Ensure all project staff use Development Victoria’s office systems correctly, including TRIM, the department’s record management system and PIMS, DV’s Project Information Management System.
- Liaise with internal and external clients, manage general and sensitive enquiries and ensure necessary follow up action is taken in a timely manner.
- Provide other duties as required to help in the delivery of the projects.
- Provide other duties as required to assist the organisation achieve its goals.
About you
Ideally you will have:
- Demonstrated ability in providing a range of high level professional administrative and Project Support in a construction or related environment.
- Experience in creating and maintaining office systems and procedures, and the ability to analyse and identify opportunities to improve processes and procedures.
- Proven initiative and ability to prioritise work, schedule own work, work with minimal guidance and meet tight deadlines.
- Experience in dealing with complex and sensitive issues with a high level of discretion and judgement.
- Excellent interpersonal and communication skills and the ability to interact effectively with a range of personnel across the department and externally.
