About the Role

The Volunteer Emergency Services Equipment Program (VESEP) team oversees the coordination and management of the annual grants program, which provides CFA volunteers with approved tankers, specialist vehicles, equipment, amenities and minor works projects to enhance CFA's emergency service delivery for the protection of the Victorian community.

This role is ideal for a detail-oriented individual with experience in grant allocation administration. You will offer efficient and effective business administrative support for the grants projects, necessitating a team-oriented person who can work both independently and proactively. The position offers flexible working arrangements.

Some of the key contributions will include:

  • Ability to develop and deliver program information sessions to brigades and staff.
  • Strongly emphasis on attention to detail and strict timeframes for program delivery
  • Some weekend or after hours work to support volunteer brigades' availability
  • Strong team mentality

Key responsibilities of the role will include the following:

  • Efficiently manage Project Support, prioritising issues for management and staff.
  • Conduct financial transactions and create purchase orders, perform budget reconciliations and reporting per CFA standards.
  • Maintain and manage reports and documentation with proper retention, confidentiality and accessibility. Prepare documents, including correspondence, presentations and reports, with research and analysis.
  • Develop and maintain effective stakeholder relationships, ensuring timely and professional issue resolution.
  • Improve local systems and processes for program efficiency.
  • Provide secretariat support for meetings, including agenda preparation, scheduling, catering, minute-taking and action item follow-up.
  • Support projects with document management, budget tracking, invoice processing, and deliverable management.
  • Maintain database and intranet systems, ensuring data accuracy and confidentiality.
  • Handle general program and project enquiries.

About You

Our ideal candidate will be able to demonstrate the following:

  • Demonstrated experience in providing Project Support services within a large and/or complex organisation.
  • Excellent written and verbal communication skills, with demonstrated ability to develop and maintain strong and cooperative relationships with program stakeholders both internal and external
  • Demonstrated experience utilising finance information management systems. Experience with SAP finance systems is preferred.
  • Strong computer literacy skills, particularly in Microsoft Office programs (Access, Outlook, Word, Excel, Powerpoint, Sharepoint).
  • Well-developed organisational skills and demonstrated ability to set priorities and meet tight work demands.
  • Superior organisational and time-management skills with an ability to manage and coordinate a range of office functions and projects and working with minimal supervision and as part of a team
