Job description

The Role:

The Property and Projects Contract Advisor will be responsible for assisting with the organisation of all building projects and building maintenance, lease negotiations and contractor management. The role places a strong emphasis on providing a high level of customer service with excellent communication skills and the ability to liaise with and manage a variety of internal and external stakeholders. They work closely with the Property & Facilities Project Manager, contactors, stakeholders and with the Facilities Team to ensure the smooth running of property and project requests.

This is a fantastic opportunity for individuals with a strong interest in developing their career at A&G. This is a full-time, permanent role that will be based in our Toowong Head Office.

Accountabilities:

  • Providing administrative support with lease negotiations and completing the execution of commercial leases and contract documents.
  • Partnering with the Property and Facilities Manager to review strategic property objectives and offer support.
  • Coordinating contractor and stakeholder interactions, requirements, and documentation.
  • Assisting with project workflows, schedules and budget spreadsheets.
  • Designing and planning with key stakeholders around the property requirements.
  • Procurement negotiations, contract preparation and administrative execution.
  • Assisting in report preparation for End of Month reporting, as well as creating and maintaining spreadsheets and procedure documents.
  • Supporting the Property and Facilities Manager with renovation, build or relocation projects.
  • Liaising with internal staff on-site requirements and translating to floor plans with assistance and support from external architects.
  • Coordinating floor plan management and restructuring requirements with contractors and internal staff for office relocations and internal moves.
  • Tracking and executing preventative maintenance routines, including compiling an asset register for equipment.

Knowledge and Experience:

  • Confident in navigating computer systems including Microsoft Office suite and Google apps.
  • Valid Queensland driver’s license (or equivalent).
  • Demonstrated administrative, organisation and coordination skills, with proven ability to work autonomously.
  • Ability to liaise and coordinate with suppliers, trades and subcontractors and provide direction.
  • Excellent communication and customer service skills, both written and verbal.
  • Good time management and ability to prioritise tasks.
  • Sound analytical and problem-solving skills.
