ABOUT THE ROLE
The Reception / Admin Officer role is the first point of contact for clients, contractors and visitors to Circle Green. You will provide comprehensive front of house service and phone intake support, ensuring our clients and their families feel valued from their very first interaction, as well as undertake general administrative duties.
Working as part of the Corporate team and reporting to the Reception Coordinator, you will interact and engage with the three legal teams to support client focused service delivery in a busy reception environment. You will provide coaching and training as directed, to a small pool of volunteers responding to a high call volume and providing professional and efficient client service as the first point of contact and throughout the intake process.
Responsibilities of the role include:
- Meet and greet clients and visitors and provide exceptional customer service.
- Maintain a tidy reception area and oversee meeting room bookings and enquiries.
- Ensure incoming phone calls are attended to in a prompt, professional and efficient manner.
- Open and close down reception area each day.
- Provide phone support for each of the three legal streams.
- Deliver services in accordance with the appropriate processes for each of the legal
- Support volunteers as directed, to undertake the client intake process.
- Build and maintain strong relationships with each service area to support client experience.
- Coach and train volunteers as directed to provide phone support and intake
- Escalate calls/ enquiries when required.
- Other reception and administrative duties as required.
ABOUT YOU
We are seeking an individual who has strong customer service skills and experience in an administrative/ reception role within a similar environment.
The suitable candidate will have:
- Demonstrated experience using Microsoft Office suite and ideally, experience using a client management database.
- Excellent organisational and time management skills.
- Ability to work independently with limited supervision.
- Exceptional interpersonal skills with the ability to work with a broad range of people from a variety of backgrounds and experiences.
- Advanced computer skills including word processing, spreadsheets, and database applications with a high degree of accuracy
- Experience or interest in the legal services sector.
- Demonstrated commitment to human rights and social justice issues.
