Job description

About the role:

As the Receptionist and Office Administrator, you will be the first point of contact for all visitors and callers to hipages. You will play a crucial role in ensuring the smooth operation of the office, representing hipages with professionalism and courtesy, ensuring our kitchen is well stocked and the office neat and tidy at all times. To be successful in this role, you will be versatile, dynamic and not afraid to roll up your sleeves and get your hands dirty.

How you will add value:

Reception Duties:

  • Greet and welcome all visitors with a positive and professional attitude, ensuring they sign in and the appropriate internal staff are notified
  • Clean, organise and maintain a neat and tidy reception area, kitchen and meeting rooms
  • Answer and direct incoming calls promptly
  • Ensure our office facilities are being used correctly and process/instructions are communicated to all team members in a timely manner
  • Sorting company mail

Office Administration:

  • Keep both our offices running at peak efficiency and maximum awesomeness by ensuring our kitchen is stocked with drinks, fruit, breakfast and snacks that keep our team fuelled and happy
  • Ensure the office facilities and kitchen are safe and clean at all times, with spot checks throughout the day for the Sydney office
  • Monitor and maintain office supplies inventory
  • Place orders for supplies and ensure cost-effective purchasing
  • Ordering lunches for staff on all staff in office days catering for up to 200 people. 
  • Organise team member gifts as required (marriages, babies, etc) and service awards including, trophies, certificates and creative celebrations for service awards
  • Perform data entry tasks as required ensuring documents are organised and easily accessible
  • Supporting Talent Development with basic administrative duties like chasing trainee attendees up, RSVPs and running basic reports from Docebo our learning management system
  • Ad-hoc team People and Culture team support setting up for internal events such as preparing for company Town Halls meetings, training sessions, etc. as required

About you:

  • Reception and office administration experience
  • Ability in using Google Suite and high technological literacy and the ability to quickly learn and use new systems 
  • Exposure to managing budgets and expenses
