The Role
We have a great opportunity for an experienced, customer focused and organised Receptionist to join our dynamic Support Office team in Malvern!
This is a key role as our primary customer touchpoint for incoming enquiries, deliveries and office visitors. Your primary function will be to receive customer and supplier calls, provide resolution services where possible, direct calls to the appropriate business area where necessary, co-ordinate incoming/outgoing mail and provide additional support to various departments as required.
Key to this role will be the pro-active resolution and follow-up of customer questions, enquiries and complaints using best practice customer service techniques. We are a family business, therefore a warm, outgoing, friendly, service-oriented approach is critical in this role.
Other responsibilities will include but not limited to:
- Ensure visitors are greeted and attended to promptly and courteously
- Managing all incoming correspondence (phone and email) efficiently and effectively
- Maintain a high level of customer service to both internal and external customers
- Develop and maintain optimal customer relationships through the provision of best practice customer practices
- Actively resolve product or service problems by clarifying the customer’s issues, identifying the cause of the problem, selecting and explaining best solutions and expediting corrective action.
- Provide advice and assistance to customers on store locations, product information, sale dates, product returns, online shopping, delivery issues and promotions
- Keep customer database records updated and current
- Receipt, sort and distribute incoming mail and log all outgoing mail
- Arrangement of couriers as required
- Ensure all housekeeping requirements and supplies are attended to promptly Support Office stationery supplies
- Monitor, analyse and recommend action to streamline present systems in mail and telephones
- Manage all company travel bookings and requirements
- Assist in coordinating company conference arrangements, bookings and event management
- Other administrative duties as required
To be successful in this role you will have:
- A minimum of 5 years’ experience in a similar role
- Exceptional telephone manner, elocution and presentation
- A true passion for exceeding customer’s expectations
- Proven customer support experience and telephone handling skills
- Demonstrated problem resolution ability
- A positive, pro-active, outgoing disposition and approach
- A self-starter with an inherent desire to succeed
- A calm disposition and reasoned approach to problems
- Ability to adapt/respond to different types of audience/customer
- Detailed and focused approach to work
- Intermediate knowledge of MS Office (Word, Excel, Outlook & PowerPoint)
- Able to multi-task, prioritize and manage time effectively
