About the Role:
The role is responsible for all reception duties including answering the main switchboard and greeting/dealing with visitors and couriers. A vital part of the role is to provide administrative duties to internal departments, in particular the finance department and attending to other adhoc tasks provided by company management.
The main reception tasks include but are not limited to:
- Greeting and directing all visitors in a courteous manner, and ensuring security procedures are followed at all times
- Operating the switchboard for incoming calls, redirecting to other departments, assisting with queries and taking detailed messages
- Organising couriers and postage for the business
- Ordering kitchen/amenity and stationary supplies, ensuring the required level of stock.
- Booking and keeping all meetings rooms tidy including the kitchen
The administration tasks to support the finance department include but are not limited to:
- Daily invoicing within set timeframes to be completed
- Entering invoices and taking payment for cash orders
- Daily reporting
- Assist Accounts Receivable with follow up on customer invoices and payments
- Scanning in supplier stock into the accounting system
- Other Adhoc administration tasks set by management
About you:
The ideal candidate would have previous experience in a Reception, Office Administration or Customer service role and have impeccable phone manner. You will be reliable and most importantly punctual whilst showing a positive image and good attitude.
Key skills required to be successful in the role include:
- Excellent written and verbal communication skills
- Strong attention to detail and the ability to pick up tasks quickly
- Ability for accurate data entry and work in a fast paced administration environment
- Take directions and work independently using the company systems and procedures
- In order to complete some tasks, you will need to hold a valid driver’s licence
