Key Responsibilities:
- Welcoming Clients: Greet clients with a warm and friendly demeanor as they arrive at the clinic, ensuring they feel valued and comfortable throughout their visit.
- Appointment Scheduling: Efficiently manage appointment bookings, cancellations, and rescheduling requests, coordinating with the clinic's scheduling system to optimise the appointment calendar.
- Client Communication: Provide clear and concise communication to clients regarding appointment details, treatment information, and any necessary pre-appointment instructions.
- Administrative Support: Assist with administrative tasks such as data entry, filing, and maintaining client records to ensure accuracy and organisation.
- Cash Handling: Handle cash transactions, process payments, and reconcile daily financial reports in accordance with clinic procedures.
- Maintaining Reception and Clinic Area: Keep the reception and clinic area tidy and well-presented at all times, including replenishing reading materials and refreshments for clients.
- Product Knowledge: Develop a comprehensive understanding of the clinic's services, products, and promotions.
- Compliance: Adhere to all clinic policies and procedures, including privacy regulations and safety protocols, to ensure a secure and professional environment for clients and staff.
- Team Collaboration: Collaborate closely with the clinic's practitioners and support staff to facilitate smooth client transitions and address any client concerns or inquiries.
- Continuous Improvement: Actively seek opportunities for professional development and contribute innovative ideas to enhance the client experience and streamline clinic operations.
Qualifications:
- Previous experience in a customer service or receptionist role, preferably within the beauty, wellness, or healthcare industry.
- Exceptional interpersonal skills with the ability to communicate effectively and empathetically with clients from diverse backgrounds.
- Strong organisational skills and attention to detail, with the ability to multitask and prioritise tasks in a fast-paced environment.
- Proficiency in computer applications such as MS Office and experience with appointment scheduling software is preferred.
