The role:
We are seeking a dynamic and enthusiastic Receptionist to join our Operations team. In this role, you will be responsible for providing front of house administrative, clerical, and general office support, ensuring the smooth day-to-day operation and management of our Brisbane Front Office.
Key responsibilities:
- Serve as the first point of contact for all visitors, clients, and guests, providing a warm and professional welcome.
- Manage incoming calls, emails, and correspondence, directing them to the appropriate individuals and ensuring timely responses.
- Coordinate and schedule appointments, meetings, and conferences, making necessary arrangements and managing calendars.
- Office coordinator, maintaining an organized and efficient office environment, including managing office supplies, equipment, and facilities.
- Assist with basic financial tasks, such as processing invoices, expense reports, and reimbursements.
- Committee Member of the OH&S Work Group and take on the role of Fire Warden
- Support the Department Coordinator’s with administrative tasks, including booking travel, onboarding & off boarding of staff, managing mail, preparing documents, and managing files.
- Act as a liaison between clients, employees, and external vendors, addressing inquiries and resolving any issues promptly.
- Previous experience in an administrative or coordination role, preferably in a corporate setting.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy, ensuring all work is completed to the highest standard.
- Exceptional communication and interpersonal skills, with a friendly and professional demeanour.
- Proficient in using office software, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Proven problem-solving skills, with the ability to adapt to changing priorities and handle multiple tasks simultaneously.
- Knowledge of basic financial and bookkeeping principles is a plus.
- Ability to multitask a range of ad hoc tasks.
