What will you do?
This is an excellent opportunity to work with a fast-paced, outcome focused Business Support team in supporting the business in ANZ, with a key role in Project Performance controllership within the Region, being the first gatekeeper in areas such as project profitability, invoicing & backlog accuracy, WBS update and cash collection. Responsibilities include:
Ensure all information is updated in the company's system accurately and on time:
  • Assistance with opportunities in CRM; support Project Managers (PMs) with opportunity creation and progression, ensuring all data is accurate, relevant documents are uploaded and dates, milestones and pipeline are maintained.
  • WBS (work breakdown structure) and Timecard completion: Enter WBS baseline in F&O for all new projects and liaise with PMs to ensure it is maintained and updated throughout the whole project; monthly checks on all active projects; track that all Full Service Employees (FSEs) complete timecards on time and take action where necessary; follow up if ICDRs (Contractors) do not enter timecards on time and action where necessary. The tasks here are business critical as the revenue generated each month will depend on the WBS and timesheets submitted in the projects.
  • Backlog/Milestones maintenance: ensure this is 100% accurate all the time. Liaise with PMs to review their monthly milestones and update where necessary in F&O for accurate backlog forecast.
  • Closing of Projects: Actively reviewing the projects that are finished and close them in F&O and CRM; making sure the WBS is matching the hours submitted by the team and all the expenses/costs are also charged to the project.
Project Governance:
  • Track financial aspects (expenses, timesheets, milestones, backlog), work closely with finance & other business functions to validate information and ensure all the necessary adjustments are made.
  • Track performance of the projects in Power Bi; challenge/analyze with the PM when the project has deviations or the Project Controller, spots any concern.
  • Create/assign/update resource request for FSEs and ICDRs.
  • Scheduling support.
  • Accounts receivable follow up.
DSS Region/Market performance:
  • Push for FSE chargeability and utilization, liaise with the other Project Controllers to help the resources that are not booked in projects and have availability.
  • Audit support.
  • Account performance tracking/linking with Industry Leader.
Administration:
  • Provide cover for business support teams in the case of any leave.
  • Monthly client invoicing.
  • Creation of new Supplier Vendors.
  • Supplier payments - PO requests and maintenance of AP Invoice Repository.
  • Assist the team with any Helpdesk follow ups.
  • Prepare, attend and follow-up business calls and business & project reviews.
  • Review and approve ICDR Invoices and expenses.
  • Coordinate project travel and also expenses for the team.
  • Any other administrative tasks required.

To be successful in this position, you will bring the following qualifications and experience:
  • Tertiary education in Business or a related field desirable.
  • Demonstrable experience as a Project Controller or Project Administrator providing high level project controls and administrative support to business / project leaders.
  • Highly numerate.
  • Strong attention to detail, goal-oriented and a natural problem-solver who can take the initiative or escalate as necessary.
  • · Demonstrable planning and organizational skills, able to manage concurrent projects and deadlines, ensuring delivery on time and on budget.
  • Highly proficient in the use of MS Office programs (particularly Excel), PowerBI, D365
  • Proven ability to adhere to confidentiality requirements.
  • Experience of working with multi-cultural, multi-disciplinary teams will be well regarded.
  • Superior time management skills and ability to work unsupervised.
  • Strong interpersonal, written, and verbal communication skills and ability to work effectively within a collaborative / team environment.
