You will be responsible for a range of activities across the relevant phase of project delivery, including (but not limited to) coordinating project plans, implementing project monitoring and evaluation mechanisms; ensuring project outcomes are delivered on time and within budget; engaging with key stakeholders and overseeing the project budget. You will also coordinate the administration and business activities of the UQ teams located at the Hermitage Research FacilityYou will work closely with Chief Investigator/s and their research teams located at the Warwick Hermitage Research Facility (HRF) to deliver effective research project outcomes at all stages of the project cycle. Currently, there are 26 people located at HRF, including, but not limited to, 4 Chief Investigators, 6 Postdoctoral fellows, 2 technicians, 6 PhD students. Key responsibilities will include:Project Coordination ResponsibilitiesUnder broad direction, coordinating aspects of the project life-cycle, including planning, monitoring, and evaluation activities as relevant to the project phase/s, including: provide financial policy advice as requiredbudget development for new grantsmanagement and monitoring of annual budgets including forward budget plans and management of preparation of reports in accordance with Research Project Plan and Funding Body requirementsreconcile and acquit project finances for reviewEnsuring compliance with agreed project methodologies and timeframesUndertaking project-specific research, analysis and reporting activities to support CisDesign and implement systems such as project management, eLearning, advanced PDFs and spreadsheets to support research projects objectives and milestonesProject Administration and communicationCoordinating reporting requirements as required by internal stakeholders and/or external regulatory bodiesCoordinate marketing and digital communication for the teams based at HRF, including maintenance of websites and social media updates across multiple platformsWork autonomously to anticipate, initiate and manage administrative and business-requirements which support the allocated function/departmentApply specialist knowledge when planning and implementing administrative and business systems, processes and protocolsProvide high-level administrative and business policy and planning advice to stakeholders, as relevant to the role and function of the officeCoordinate international and domestic travel arrangements for the teams located at HRFPlan and manage events and training led by CIs at HRF, including annual workshops and conferences, held overseas and locallyProcurementManage the sourcing, procurement, and logistics of items identified for purchasing in research projects managed by the teams at HRF in accordance with relevant University policy and procedures, including overseas purchases and deliveryManage the effective sourcing, provision and use of resources, space and infrastructure to support the research priorities of the teams located at the HRF, facilitating the integration of best practice systems and approachesFinancial ManagementManage the life cycle of assets based at HRF including maintenance, repair and disposal of vehicles and assetsEnsure that asset registers are up to dateManage the processing of accounts payable (raising orders, paying invoices, processing claims for reimbursement, credit card reconciliation and internal service charges) in accordance with relevant University policy and procedures.Ensure compliance with Funding Body and University financial policies and procedures regarding cost control, cost recovery, advice, and reportingLeadership and ManagementLiase with relevant DAF personnel regarding the UQ use of DAF owned facilities and resources at HRFManage and lead direct reports in accordance with the 'Manager' Responsibilities of UQ's Leadership Framework; including managing performance and training programs; and coordinating processes for recruitment, selection, induction and development of administrative staff and casual workersManage onboarding and support of new PhD students in conjunction with the Graduate School and QAAFI HDRManage onboarding and support of new team members relocating to HRFThis role is subject to The University's Code of Conduct. This is a full-time (100%), fixed-term position through to June 2025.At HEW level 7, the full-time equivalent base salary will be in the range $96,649.64 - $105,244.58, plus a generous super allowance of up to 17%. The total FTE package will be up to $113,080.08 - $123,136.15 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases - at least once a year.About You You are a highly motivated, experienced and multi-talented Research Portfolio Manager to coordinate the delivery of a wide range of project-related activities across all phases of the project life-cycle, from initial scoping and planning through to post-project evaluation. You will have:Bachelor Degree in a relevant discipline with at least 4 years subsequent relevant experience and/or an equivalent combination of relevant experience and/or trainingDemonstrated experience in a project management role of similar scale and scopeExcellent written and interpersonal skills including the ability to communicate effectively with clients by telephone, email and in personAbility to prioritise own workload, work independently and meet deadlines. Demonstrated advanced skills and experience in project management, business administration, and financial management High level of computer proficiency and practical understanding of administrative computer applications, specifically with mainframe corporate systems,Advanced skills in word-processing, data storage and retrieval, and spreadsheetsDemonstrated experience in coordinating and managing all aspects of international travel for large groups, preferably for travel in high-risk countriesDemonstrated experience in large-scale, and high value procurement, of capital itemsDetailed knowledge of UQ policies and procedures in relation to administration, finance, procurement and governance, or demonstrated capacity to gain this knowledgeCommitment to upholding the University's values, and with the outstanding personal qualities of openness, respectfulness and integrity,In addition, the following mandatory requirements apply:Work Rights: You must have unrestricted work rights in Australia for the duration of this appointment to apply.
