The Role
We have big plans at the Austin Group and an opportunity has arisen for a diligent and motivated Retail Property Managerto join our team!
Based in our new office in Malvern, this role sits within the Finance Team. The Retail Property Manager is accountable for the day-to-day management of all property administration and overseeing property maintenance for Austin Group brands, across retail stores and Support Office. This role will work closely with our leasing and renewal specialist to ensure the best business outcomes from a property perspective.
You will be a self-starter who is highly organised and can successfully build trusted relationships with internal and external stakeholders across a national network of retail locations.
Responsibilities will include but not limited to:
- Running/overseeing task-based management system online to contract out all maintenance for all stores including, lighting, plumbing, cleaning and tradespeople
- Management of the Lease Eagle property system to ensure data is accurate for all stores and other properties
- Management of Property Service Contracts – e.g Windows, Waste, Utilities, Site Outgoings, rent approvals
- Annual renewal of footpath permits for all strip stores and with new stores Bank Guarantees, Public Liability Insurance.
- Liaising directly with all Landlords where necessary for property maintenance
- Overseeing all inventory requirements for planned new stores and replacement of items including whitegoods, vacuums, steamers etc
- Monthly rent invoice reconciliations
- Property maintenance invoice management
- Maintain accurate property records, cross-checking documents and agreed terms for compliance and maintenance management
You will have:
- Relevant tertiary or related qualifications (Property or Accounting is highly desirable)
- Previous experience (3-5 years) in a similar role in a retail business, centre management or commercial property management
- Knowledge of ‘Lease Eagle’ lease management system
- Experience in using Microsoft Office Suite of applications
- Highly organised to meet schedules and timeframes
- Strong attention to detail
- Ability to manage multiple priorities
- Strong negotiation and communication skills and ability to work collaboratively and influence decisions across functions
- Proven problem-solving skills and the ability to think ‘outside the box’
- Strong stakeholder engagement, influencing, change management and people skills
- Required ability to be contacted out of hours for urgent property maintenance issues
