Please Note that this role is based in our facility located in Vicotria. 

Victoria By The Park is a beautiful aged care facility overlooking the stunning Hopetoun Gardens in Elsternwick, Melbourne. We are seeking an experienced and confident Rostering Coordinator to work four days / 30 hours per week. 

About the Role:

In this pivotal role, you'll play a vital part in ensuring our residents receive the best possible care by coordinating rosters for our dedicated staff. You'll work closely with care managers, department managers, team leaders, and staff to develop efficient and compliant rosters that meet service needs, staff preferences, and award regulations.

Key Responsibilities:

  • Create and maintain staff rosters using our rostering software, Care Systems, ensuring they comply with legislative requirements, award agreements, and service needs.
  • Manage staff availability, preferences, leave requests and qualifications when allocating shifts.
  • Proactively address staffing gaps and shortages, finding solutions to ensure continuity of care.
  • Monitor and analyse rostering data to identify areas for improvement and optimise efficiency.
  • Liaise with care managers, department managers, team leaders, and staff to address rostering concerns and feedback.
  • Maintain accurate and up-to-date records of all rostering activities.
  • Stay informed of changes in legislation and award agreements impacting rostering practices.
  • Collaborate with HR to onboard new employees into the rostering and care systems.
  • Analyse data related to rostering efficiency and make recommendations for improvements.
  • Maintain facility compliance matrices e.g. staff appraisals, education
  • Maintain a record management system including, filing, storage, archiving and disposal of records related to staffing and payroll. 
  • Maintain secure personnel files for all staff. 
  • Maintain records for NDIS/ Police Checks, Professional Registrations and Visa Status. 
  • General administrative support to teams on an ad-hoc basis.
  • Formulate the annual staff training calendar.
  • Organise training sessions, presenters and staff attendance.
  • Assist with the coordination of mandatory education attendance including online eLearning. 
  • Conduct orientation with new staff members and agency staff.
  • Contribute to a positive and collaborative work environment.

Requirements:

  • Prior experience as a Rostering Coordinator or similar role (required). 
  • Able to adapt to using technology/systems for scheduling (Care Systems / Emprevo / Leecare P6)
  • Strong interpersonal skills to negotiate effectively, mitigate conflict, establish trust and manage expectations with staff
  • A positive and adaptable attitude in a changing environment
  • The ability to cope with short-term deadlines and manage competing priorities
  • Initiative and highly organised skills
  • Strong and effective communication skills, both written and verbal
  • Strong attention to detail and problem-solving abilities
  • Familiarity with the Nurses and Aged Care Awards
  • Basic knowledge of the requirements of the Aged Care Standards as are applicable to the role
  • Current NDIS Worker Screening Clearance
  • Working Rights in Australia 
  • Business administration, Human Resource or Customer Service qualifications or equivalent - desirable
  • Applicants with previous experience within the Aged Care industry will be highly regarded
