What will you be doing
As Sales Administrator (full time, permanent position), reporting to the Licensee/ Director, your role provides comprehensive administrative support to the sales team. You will be essential in facilitating property transactions from initial listing to final settlement, while maintaining regulatory compliance. Your responsibilities encompass a variety of duties, from managing paperwork and client communication to coordinating property advertising collateral and assisting with property marketing activities.
More specific role duties include, but are not limited too;
- Administrative Support: Provide administrative assistance to the sales team, handling phone calls, managing correspondence, maintain accurate records of property listings, sales contracts, and client information.
- Property Listings: Prepare property listings, book photographers, upload property photographs and floorplans and assist with writing compelling property descriptions. Upload listings to the agency's website and various online platforms.
- Client Communication: Act as a point of contact for clients, buyers contractors, responding to inquiries, providing updates on property listings, and emailing client reports.
- Transaction Coordination: Coordinate the sales process from listing to settlement, ensure all paperwork is completed accurately and in a timely manner. Liaise with conveyancers, solicitors, and other stakeholders to facilitate smooth transactions.
- Accounts Support: Reconcile vendor-paid advertising and prepare commission invoices in adherence with to company guidelines and contractual agreements.
What we are looking for

- Experience in a similar administrative position within a small to medium size business, real estate industry is highly desirable
- Strong organisation and time management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with a customer-focused approach.
- Attention to detail and accuracy in data entry and paperwork is essential.
- Working knowledge of Microsoft Office Suite and relevant industry systems and technologies.
- Knowledge of relevant industry regulations and compliance requirements is an advantage.
- Self initiative and the ability to work effectively in a fast-paced, deadline-driven environment.
