We have an opportunity for an Administrator/Team Assistant who is looking for their next step up to join our client, a boutique financial services firm based in the heart of Sydney's CBD. Flexible working is an added benefit to this great opportunity.

In this role, you will support a team of 10 with all administrative tasks - we are looking for someone who wants to be hands on, involved and a key member of the team. As well as administrative support, you will also be responsible for client services duties for the team as well as managing an office junior.
To be successful in this role, you must have a minimum 3-5 years experience working within an administration role. You will have strong organisational skills, be a confident user of Microsoft office products, pride yourself on your excellent communications skills, be flexible enough to get involved in all administrative duties and be a real team player.
Our client is looking for the “right fit” rather than the technical knowledge for this role. They believe for the right person, that can be taught. The successful applicant will be someone with strong administrative experience who can bring to the role the willingness to learn and develop.
Duties include:
- Respond to internal and external queries, managing issues or escalating as appropriate
- Manage client onboarding & offboarding, including ID verification Processes Administration
Prepare team meeting agenda - Ensure turnaround of tasks across team in line with deadlines set
- Ensures staff capacity is utilised, including monitoring KPIs
- Review team reports, follows up on discrepancies as required, and administers monthly KPI reporting
- Supports Team Leader by ensuring WIPs are up to date and monthly reviews undertaken to ensure Team WIP figures are accurate
- Reviews month end invoicing, including reviewing client WIP in consultation with Team Leader, and send invoices to client
- Prepares data collections
- Oversees all proposals, review renewals using Go Proposals, ensure proposals are actioned and completed (signed within 10 business days).
- Reviews packaging as prepared by CSA
- Completes super fund set up, oversees lodgements and completes super fund packaging
- Manages ATO mate, including coordinating PAYG instalments for sending with CSA.
- Third party calls (ATO, ABR, ASIC) as required
- Actions ATO requests, e.g. initiates managed payment plans
- Completes new company/ trust set ups as required
- Completes applications for TFN, ABN, GST and other registrations as required
