We currently have a rare opportunity to join our General Medicine (Bone) Marketing team. This Admin Support role is a full time, 12-month contract. Reporting to the Marketing Lead - Bone, the core of this role is administrative support to coordinate and implement promotional activities in line with our Marketing plan.
We're looking for a customer focused, proactive and supportive team-player who goes above and beyond to exceed expectations. Being in this role means you'll be exposed to working with diverse internal and external stakeholders. The ideal candidate will thrive in an energetic and fast-paced environment and be flexible and adaptable to evolving business needs. If you have experience in a similar admin support role within the pharmaceutical or medical devices industry, you will hit the ground running. If you come from a highly regulated and compliance-focused industry, we're eager to hear from you as well.
Key Responsibilities include:
Assist the Marketing team with coordination & implementation of promotional activities of the marketing plan
Liaise with suppliers and agencies to coordinate various marketing activities from conception to completion including brand name reminders, trade show materials and direct mail activities
Collaborate with internal stakeholders including Product Managers, Medical, Medical Communications and Omnichanel to support the team in the timely approval of materials via the approvals platform (Veeva Vault)
Support sales team for in-field meetings: development and approval of invitations, management of RSVPs, collation of feedback forms, printing etc.
Manage honoraria for specialist speakers: processing of contracts, collection of signed contracts, processing of invoices for payment of honoraria, updating tracking spreadsheet
Manages department operations: filing, developing databases, tracking budgets, stationary orders, etc.
Coordinates functional processes such as invoicing and payments or preparation and distribution of promotional material
Supports in calendar & expense management and other adhoc administration activities

The proactive, self-directed, motivated, curious and passionate team player we seek has the following qualifications, skills and experience:
Minimum 3 to 5 years related experience in an administrative support role
Admin support experience in the pharmaceutical industry (or other highly regulated/compliance-focused area) - strongly preferred
High School Diploma
Experience using MS Office tools as well as Teams and Webex
Excellent written and verbal communication skills
Excellent organizational skills and calendar management
Familiarity with terminology of area supported such as Marketing, Medical, Clinical Research, Logistics etc. preferred
Work rights and residency in Australia mandatory
