The Role
We are seeking to engage a Senior Office Administrator to join our team. Based in our beautiful new and modern offices in North Sydney (approx. 2-minute walk from the station), you’ll spend your days providing front-of-office services to the business, managing all facets of administration and business support for our North Sydney Office.

Responsibilities include, but are not limited to:
  • Proactively delivers effective, efficient and accurate administration services, ensuring high levels of customer service are provided to the business
  • Collating and executing accurate reports and statistical information
  • Preparing, coordinating and distributing accurate documents, reports and presentations in a timely manner
  • Creating well designed PowerPoint presentations with appropriate content, within the area of assigned activity
  • Resolving discrepancies and issues, recognising problem areas as they arise;
  • Making recommendations to the Office Manager and actions to reach a positive result
  • Booking travel and training, adhering to company guidelines
  • Booking local, interstate and international couriers, as requested, adhering to company guidelines
  • Managing project and pool vehicles including booking management, maintenance and servicing
  • Document management including physical and electronic archiving, filing, adhering to SMEC policies and procedures
  • Assisting the Bidding and Submissions process, including print production
  • Managing the recording, maintenance and disposal of office assets and company property
  • Driving office compliance requirements and contributes to a safe office environment
  • Providing support to the front office, reception function, as required and directed by the Office Manager, to ensure that excellent customer service standards are met and a high standard of service delivery is achieved
  • Providing effective administrative support and coordination to office functions, events and social activities, as required
  • Effectively assisting projects in the preparation of project deliverables, documentation and transmittals, as required
  • Supporting the financial aspects for the office or project including creation, programming, resourcing and invoicing, as required
  • Supporting hiring managers with the onboarding of new employees, if required
  • Fostering a culture of confidence by actively providing high quality operations support, dedication and consistent application at a high professional standard
  • Adopting a collaborative approach by listening to and valuing other’s contributions and recognise when it is appropriate to seek assistance
  • Building strong relationships with internal and external clients and key stakeholders
  • Communicating professionally and appropriately to internal and external clients, team members and stakeholders
About You
Suitable applicants will be/have:
  • Related qualifications such as a TAFE business administration qualification will be highly regarded
  • Intermediate to advanced MS Office skills
  • 5+ years experience in a similar role, ideally within a corporate setting
  • Ability to work autonomously with minimal supervision
  • The ability to build and maintain strong relationships with stakeholders
  • High attention to detail
  • Innovative “out the box” approach to problem solving
  • Highly developed interpersonal and communication skills to work effectively within a culturally diverse and multi-disciplinary environment;
  • Excellent time management skills to work effectively and efficiently towards deadlines
  • A proactive and solutions-driven approach to work.
