Role Purpose
To manage the complete payroll function (end to end) for both local employees and international transfers (inbound and outbound)
Key Tasks and Responsibilities
- Payroll Processing:
- End-to-End processing of payrolls for over +300 employees (including both local employees and international transfers - inbound and outbound)
- Processing Bain specific monthly NZ payroll ~ 5+ employees
- Collecting, following up on and processing all information required to successfully finalise both the Transfer International payroll and US Transfer Out payroll including obtaining new starter documents, information for net pay, allowances, deductions and foreign taxes applicable from home country
- Prepare Shadow Pay Run for short term overseas transfer employees - ~between 1 to 15 employees
- Manage Superannuation
- Assisting with various bonus payments calculations and updating systems for salary and tenure increases
- Liaising with internal and external clients on payroll matters
- Conduct Payroll inductions for international transfers inbound on local payroll
- Maintenance of the payroll system, including creating cost centres and GL account codes
- Monitor and respond to Payroll Inbox queries on Transfer employee related matters
- Manage Termination calculations for departing transfer employees
- Work with and monitor Payroll Specialist in the Regional Finance Centre to ensure processing and deadlines are met
- Ensure all salary related payments have been performed including transfers PAYG, payroll tax, all leave types and bonuses
- Prepare month end process for Local & Transfer payrun, including finalizing payroll journals
- Perform calculation of monthly annual and long service leave accrual journals
- Reconciliation of Staff Recoverable, US Employee Taxes, Payroll Clearing, Payroll Tax & Superannuation and PAYG accounts
- Prepare monthly Management Cross Charge for global FP&A team.
- Work with Senior Manager, Accounting - Tax and Payroll to ensure smooth and timely performance of year-end processes, such as reconciling superannuation and payroll tax.
- Assist Senior Manager, Accounting - Tax and Payroll in analysing taxation, social security and benefits compliance obligation in Australia and sending/receiving countries for all inbound and outbound transfer employees and tax loan agreements.
- Prepare monthly bonus and MPS accrual journal
- Provide monthly and ad hoc reports requested by HR and other internal departments/employees
- Year End reconciliations and reporting for STP
- Ongoing maintenance of the current payroll system (DataPay), including pay items setups
- Ongoing maintenance of ESS and update of Bain specific procedures on this system.
- Provide assistance as and when required for Finance and HR team
- Minimum 5+ years in running end to end payroll
- Excellent understanding and experience of Australian payroll system
- Experience in performing month end payroll related tasks (general ledger clearing)
- Experience in performing calculations and meeting obligations relating to PAYG, Superannuation, Payroll Tax and Workers Compensation
- 100% commitment to accuracy and meeting deadlines
- Experience in using third-party payroll software including Employee Self-Serve interfaces
- Strong service ethic, towards both internal and external stakeholders
