The Role Available:
The Service Coordinator role offers a variety of tasks including multiple software systems, invoicing, scheduling, and customer contact. Working within a small friendly office in a long-term NT owned and operated business you will have the opportunity to become an integral part of the team.
Reporting to the Service Manager your key duties will be:
- Provide professional customer service while building and maintaining great customer relations both on the phone and in person.
- Manage all customer enquiries referring to the Service Manager if technical knowledge is required.
- Create and schedule service jobs on SM8 software for drivers and workshop.
- Daily import of SM8 invoice file into Myob Advanced.
- Methodically check Myob Advanced invoices created for accuracy of rates charged and parts used.
- Amend invoices were appropriate to cater for pricing structures, buy-ins, etc.
- Enter new inventory items into SM8 as required.
- Ensure drivers are completing stock transfer sheets when re-stocking trucks.
- Process all truck and workshop transfers in Myob on a daily or weekly basis.
- Review monthly truck stock reports for variances and investigate.
- Source and order parts, seek guidance from Service Manager when needed.
- Follow up with Suppliers where parts have not arrived or been delayed.
- Receive parts into the workshop office and distribute as appropriate.
- Contact customers to obtain purchase order numbers and provide updates on job progression.
- Call workshop or mobile cash customers for debt collection if required.
- Provide support in the absence of Service Manager if needed.
- Demonstrate high level of organisation to maintain office productivity.
- Maintain a safe workplace at all times in accordance with WH&S requirements.

- Sense of urgency executing job responsibilities and prioritising urgent tasks.
- Data entry and high standard of administration.
- Good knowledge of Microsoft suite of programs including excel.
- Knowledge of SM8 and/or Myob Advanced desirable but not essential as training will be provided.
- Business acumen and understanding of department profitability.
- A 'can do' attitude with energy and enthusiasm to learn our industry.
- Enjoys working collaboratively with team members and other departments.
