About the Role
You will be the initial point of contact for Burnie Brae clients and effectively facilitate the service support requirements while ensuring a high level of customer service is provided and administration requirements are fulfilled. 
 
Specific Duties 

  • Respond to client calls & perform client callbacks in a professional and empathic manner.
  • Monitor the scheduling inbox daily, ensuring emails are actioned within 24 hours. 
  • Accurately identify and assess client needs and recommend the appropriate solution/service.
  • Assist with rostering or planning requirements for Care Services field staff and contractors.
  • Assist field staff in resolving issues or concerns during service facilitation.
  • Prioritise and find solutions to ensure urgent service requests from clients are facilitated. 
  • Complete general scanning, filing and archiving duties as required or requested. 
  • Update client information in Alayacare or other databases / software when required. 
  • Maintain service registers, ensuring the are up to date and accurate at the end of each day. 
  • Update relevant client or service information into the Services Database as required.
  • Complete end of day requirements in line with internal procedures. 
 
Skills & Experience
  • 2+ years’ experience working in a busy scheduling role  
  • Alayacare system experience is highly desirable but not essential
  • Genuine interest in community services and the social & health needs of clients 
  • Previous experience working within a community services organisation is preferred
  • Consumer directed and person-centred approach
  • Quick learner with the ability to multi-task and utilise a range of software programs
  • Outstanding, organisation, time management and planning skills
  • Empathetic and friendly demeanour
  • Ability to work autonomously and as a supportive team player
