What’s the role?

The Services Administrator is responsible for administrative support to targeted clinical work programs at Therapy Focus. Being actively involved at the site of the clinical services, the Services Administrator ensures that the customer experience is seamless from the point of service application to departure. Using systems and software, the administrator is responsible for setting up records and processes that help customers progress through their journey to access the targeted service and support the reconciliation of funding and payments.

Key Responsibilities:

  • Coordinate and facilitate the service timetable to ensure the targeted service runs according to schedule.
  • Work under business leaders' guidance to ensure service coordination, from securing funding and customer applications to billing for services.
  • Manage onboarding of clients for the targeted service, including triaging applications for the service and re-direction to other areas of the business when required.
  • Liaise with customers and clinicians via phone, email, or in person to schedule, remind, or follow up on appointments using agreed-upon software programs suitable for the targeted service.
  • Maintain client documentation according to the requirements of records legislation, internal procedures, and Therapy Focus’ client management database.
  • Ensure services are set up in Therapy Focus systems and processes to support accurate billing for services by the Finance team.
  • Manage telephone calls and follow-up enquiries related to the targeted service as appropriate.
  • Maintain administration systems, including calendars, records, mail, saving, filing and archiving as per Therapy Focus policies and procedures.
  • Arrange and facilitate appointments and meetings with customers and clinical teams involved in the targeted service, including arranging interpreters if required.

What’s required?

Mandatory

  • At least 2 years experience in an administration role in a complex, larger organisation
  • Customer-centric individual focusing on delivering extraordinary service
  • Ability to perform more than one task at a time and solve problems quickly
  • Clear written and verbal communication
  • Ability to work autonomously and collaboratively as part of a team
  • Excellent organisational, time management and prioritisation skills
  • Sense of responsibility, to ‘own the job’ until completion
  • High attention to detail
  • Experience in diary management

Desirable

  • Experience in the not-for-profit and/or disability /or health /or government sectors
  • Experience rostering or scheduling a group of clients and/or staff
