The Role
We are looking for an experienced Site Administrator to join our busy yet fun team. This role will see you providing general administrative and mobilisation support at our Mt Holland mine site.
The role will be available on a permanent basis; 8 days on and 6 days off roster from Perth to our Mt Holland site.
Key Responsibilities
- Assist with site entry requests and the mobilisation process for employees, visitors, and contractors.
- Manage and Maintain site roster for employees, contractors and visitors
- Be the Document Management System (DMS) super user which involved managing new starter training with the DMS system and being the technical "go-to" person for the Department.
- Manage and maintain telephone and shared mailbox
- Co-ordinate site-based travel including flight and bus bookings
- Manage and maintain the day-to-day activities related to departmental Document Control which includes documentation formatting, document numbering, distribution, review and approval, for uploading into RHH Document Control System, ensuring compliance with Document Control Processes and procedure.
- Create purchase requisitions and review invoices against scope of work (including PPE orders and distributions)
- Ensuring record management is well maintained and managed.
- Assist in collation of data and statistics required for monthly reporting.
- General office duties (including filing)
- Assist and maintain, ensuring Mines Record book is kept up to date
- Prepare and distribute site specific correspondence.
- Assist with communication during emergency situations as directed
- Maintain and order office/ crib supplies
Role Requirements
- A minimum of 2 years administration experience in similar role on a FIFO site.
- Certificate IV in Business Administration
- A valid C Class Driver’s License
- Data Entry and excellent attention to detail
- Familiarity with fast moving / project environment
- Advanced computer skills with excellent knowledge of MS Office products such as Excel, Word, Power point, and Outlook.
- Excellent knowledge of SAP, Inflight, In-Control and Intuition.
- Show a proactive approach to problem solving and continuous organisational change.
- Ability to respond to and prioritise competing and urgent requirements calmly whilst maintaining accuracy and consistency with high level of attention to detail.
- Demonstrate proficiency in the Microsoft Office suite and the use of document management databases, and financial databases (i.e., SAP).
