Studio Co-ordinator

We are searching for a Studio Coordinator to join our team. This is a full-time onsite role in a stunning office on Collins Street in the heart of Melbourne CBD.
The Role:
As the Studio Coordinator, you will be the face of the company, so being well-presented and confident is essential. You will be responsible for the co-ordination of the office, ensuring the office is running smoothly and efficiently as possible. You will play a vital role as the first point of contact for clients and guests who visit the studio, so you will understand the importance of a great first impression and ensure every visitor’s experience in the studio is a positive one.
A key part of your role will be working directly with senior management on day-to-day tasks. You will possess strong organisation and time management skills, excellent attention to detail, and can liaise effectively with the practice leaders.
Duties and Responsibilities:
- Welcoming guests and responding to queries via phone and email.
- Maintaining stock of stationary and other office supplies.
- Managing calendars, scheduling meetings and appointments directly with senior management.
- Organising social and office events.
- Managing flight/hotel bookings.
- Ad hoc admin tasks as required.
- Promoting a friendly and supportive working environment.
- Implementing and maintaining procedures/administrative systems.
- Maintaining social media platforms.
- Assisting the senior management with recruitment, HR processes and staff onboarding.
- Minute-taking during internal senior management meetings and compiling action items.
- Preparing documents, reports, and presentations with senior management.
- Implementing and maintaining office procedures and policies.
Requirements:
- Proven experience in a similar reception/office management role.
- Exceptional customer service.
- Excellent communication and writing skills.
- Highly organised and task-result-focused.
- Professional presented.
- Team player.
- Strong problem-solving and decision-making abilities.
- Proficiency in Excel and Microsoft Office / Teams.
