The position of Submissions Coordinator is a fantastic opportunity for a driven and motivated professional to assist and support our Estimating Manager in the tendering process.
Key Duties and Responsibilities include (but not limited to): -
- Assist with the execution of all tendering activities and support estimating manager with the review and submission of responses.
- Coordinate tender process meetings and deadlines.
- Organise, register and transmit tender documentation packages to suppliers and subcontractors.
- Receive, register and transmit tender addendum.
- Review tender submission requirements and assign key tasks to project team accordingly.
- Reading and interpreting drawings, and specifications to identify required suppliers and subcontractors.
- Preparing detailed tender submissions and non-price criteria.
- Maintain subcontractor and supplier contract information.
- Seek out and establish new subcontractors and suppliers as required.
- Coordinate and minute tender process meetings
- Management of suppliers and subcontractors and requesting the correct pricing and all required returnable schedules and documentation are provided.
- Communicate and collaborate with Project Teams to develop and design tender submission/ responses.
- Communicate with the client to request post tender debriefs and respond to post tender clarifications.
- Coordinate and minute tender handover meetings on successful tenders.
- Collect and maintain completed project information and photos and create project profiles for use in tender submissions.
The successful candidate should possess:
- Previous experience in a similar role
- High level of experience with Microsoft Suite, Acrobat, Bluebeam PDF
- Experience with tending management platforms such as Estimate One, Bid Contender, Tender Link etc
- Experience using client tender portals such as Austender, ARCUS, Ariba, Vendor Panel, QTender etc.
- Ability to prioritise and multi-task
- You will be self-motivated, resilient and enjoy working in a close team environment
- Exceptional organisational skills
- Be a quick learner
- High attention to detail, including ability to proofread and edit documents
- Own reliable transport
- A can-do positive attitude
