We have an exceptional career opportunity for a passionate and dedicated Submissions Coordinator to join our team to support our global reputation as a leading international company for public art.
About the Role
You will be responsible for supporting the Middle East and Australia New Business Team by coordinating and producing tenders and proposals to meet client submission deadlines. You will engage and direct internal stakeholders, ensuring their participation and timely deliverables. Your attention to detail and organisation will contribute to successful submissions and new business opportunities for UAP.
This part time role is for 3 days a week.
Reporting to the Director of Middle East, you will be responsible for activities, including, but not limited to:
- Manage the Submission and Bid Process: Oversee the entire process from inception to delivery, using InDesign, Photoshop, and Word to ensure high-quality outcomes.
- Strategic Support and Content Development: Interpret client briefs to identify and source optimal content and support the development of submission strategies and enhancements to bid processes.
- Coordinate and Collaborate: Work with wider project teams, external consultants, and joint venture partners to coordinate content and contributions.
- Documentation and Library Management: Maintain and manage a template library, including CVs, project sheets, and standard documentation for EOIs and tenders. Also responsible for the upkeep of the submission library.
- Business Development Support: Assist in broader business development and marketing initiatives, including managing client databases, tracking project opportunities, and producing internal communications regarding project wins.
- Presentation Preparation: Prepare and produce presentations and other marketing materials using PowerPoint, InDesign, and Photoshop
What you need to succeed
You will be able to demonstrate:
- Minimum 7 years’ experience in tender submissions coordination
- A proven record of submission coordination.
- Experience in large scale, multi-faceted bid management within the built environment industry.
- Creative thinking to produce new ideas and concepts to convey the design story in client submissions and presentations.
- Familiarity and interest with business development processes, sales strategies, and best practices in proposal development.
- Ability to understand & interpret technical briefs and align with our creative and commercial expertise.
- Excellent organisational and time management skills to handle multiple projects, varied stakeholders and meet deadlines.
- Strong written and verbal communication skills for crafting compelling narratives and articulating complex ideas.
- Contributing, editing, producing & proofing well written, accurate & persuasive submissions with the support of the submission.
- Analytical mindset for interpreting data and making data-driven decisions to support the development of the submission.
- Strong computer skills including high level Microsoft Office skills and proficient in Adobe Creative Suite programs, specifically InDesign, and Salesforce would be highly advantageous.

The role is Part time with a standard 6-month probationary period.
