HR Logix is hiring an experienced Transport Coordinator to join our team in Tullamarine, Melbourne. This is a casual position Monday to Friday, with the potential to become full-time in future for the right fit.

Position
The Transport Coordinator will be responsible for managing daily operations, scheduling loads with our customers, maintaining positive customer relationships, overseeing compliance and ensuring administrative data and records are kept up to date. You will be working closely with our Allocator and Business Improvement Manager at times.
Duties
- Schedule all loads with our customers via phone call and email. You will work closely with our Allocator, who will organise the drivers.
- Be the point of contact for our customers, including notifying them of any delays and obtaining site information.
- Reply to customer enquiries – including but not limited to statement requests, incidents, concerns.
- Filing and keeping track of all customer paperwork, including sending paperwork to customers on a daily basis.
- Daily invoicing (you will be trained on this), including statements, reporting and overdue reminders.
- Assisting the Allocator with Driver and Subcontractor onboarding when required, including inductions.
- Managing the maintenance/services of all trucks and trailers, including monitoring when services are due or faults are reported, booking in with providers, ensuring the vehicles arrive and recording service/maintenance data.
- Incident reporting.
- Data entry for Profit and Loss margins.
- Maintaining data for business KPI’s and reporting outcomes.
Criteria
- 3+ years administration/coordination experience
- Exposure in the transport industry, including scheduling loads
- 2+ years customer/client service experience
- Strong communication skills, ability to engage in daily conversation with customers and build relationships
- Ability to work under deadlines
- Confident, bubbly and friendly personality
- Able to work well in a team, follow instructions and take initiative when required
- Organised with excellent attention to detail
- 2+ years experience with data entry
- Proficient in Microsoft Suite
- Invoicing experience is advantageous but not essential
