We are looking for a Venue Hire Officer to work at a local institute based in Casaurina.
The Venue Hire Officer is responsible for administering the online booking system, reviewing booking requests and processing Venue Hire enquiries from external organisations.
A strong client service orientation and excellent administrative skills are critical to the success of the role.
- Respond to all customer enquiries regarding the function space, rooms and other venues available for hire in a timely manner.
- Maintain records of booking requests.
- Develop, implement, and monitor systems and processes to streamline the management of booking requests.
- Review conditions of hire to ensure relevance and functionality.
- Assist in the maintenance and reconciliation of accounts.
- Work with a range of software packages including Microsoft Office Suite and database programs.
- Promote the organisation to internal and external stakeholders as a venue for a wide range of functions.
- Provide high level customer service for a range of customers.
- Liaise with internal and external stakeholders to facilitate Venue Hire around student timetables, to meet requests wherever possible, and provide training, as required, in the use of the operation of systems.
- Maintain communication with the Facilities team to ensure smooth and continued workflow.
- Have an understanding of student timetabling and how this affects space availability for Venue Hire.
- The ability to manage workload, ensuring all client requests are responded to in a timely and effective manner.
What you'll need to succeed
- Demonstrated a high level of customer service skills, including verbal and communication skills.
- Demonstrated an ability to maintain accuracy and attention to detail in a high-volume environment with constantly changing priorities and frequent interruptions.
- Demonstrated experience in the Microsoft Office Suite of programs.
- Experience as a function/event coordinator.
- Experience in the use of timetabling software would be desirable.
- Working knowledge of university administration, policies and procedures would be desirable.
You must have
National Police Check
NT Working With Children clearance
Current NT driving licence is required
