As an Account Co-Ordinator, you will be responsible for the day to day contact with client, liaising with production and other support departments to ensure jobs are processed in accordance to SLA requirements. Compiling and maintaining clear job instructions and issuing jobs bags in a timely manner. Develop and maintain a long-term service relationship with client. This role is full time - fixed term 12 months - with the opportunity to become ongoing.Main activities include:
- Maintain and issue Job instructions/Job bags (including back up instruction).
- Processing Job orders from end to end through all departments.
- Monitoring/ managing stock levels
- Monitoring/ managing any trouble shooting required.
- Maintain a portfolio of client accounts and develop a long-term service relationship with clients.
- Maintaining the client information including production job instructions, client work instructions, contracted price rates, SLA's
- Managing the expectations, SLA's, assumptions and requirements of internal and external stakeholders and ensuring customer satisfaction.
- Communicate proactively with Clients, Sales and Operations on Client jobs which will/will not meet delivery/quality expectations.
- Collate required information for incident reports.
- Perform invoicing requirements in a timely and accurate manner.
- Receiving, handling or escalating customer complaints
- Act on CARE's and issues raised in problem reports within standard
- Attend Client review meetings.
- Complete any required reporting
- Ownership of overall client contact responsibility on a select number of smaller accounts; including quoting and pricing details, assisting Finance with following up outstanding debts as required.
- Implement and or facilitate new BAU work, change request, UAT/ PVT and documentation as directed for delivery into a BAU environment.
- Review samples provided by IT and Operations prior to issuing to client to ensure changes align to specifications provided and align with customers' expectations
- Capture any variations/ identify revenue leakage
Key skills and personality traits:
- Must display good communication skills - both verbal and written
- Excellent PC skills - MS Word, MS Excel, MS Outlook.
- Ability to record data and file information accurately
- Ability to follow direction regarding a particular task to attain output within a specified time and resource confines
- To handle customer queries with empathy, sensitivity and competently and to respond positively and in a timely manner to those queries
- To recognise urgent or unsolved problems and escalates them for action when appropriate
- An understanding of priorities and ability to juggle several tasks and meet deadlines
- Ability to reason clearly, to think through problems and anticipate consequences and think laterally with regard to suggesting and making improvements
