You’ll be accountable for efficiently managing and operating accounts payable, accounts receivable, stock fulfilment, maintaining and creating administrative procedures, team and client communication, and general office management. Objectives of this Role
- Thorough, organised, and detailed management of the Xero accounting system.
- Efficient management of the accounts receivable and accounts payable side of the business.
- Professional communication point for staff and clients in relation to Accounts and Administration procedures and policies.
- Maintain and fulfil requirements to remain compliant with ISO 9001:2015 Quality Management system.
- General office management and scheduling support for the management and technical team.
Responsibilities
- Manage accounts receivable operations, including efficient operation and diligent approval processes of quotes and invoices sent to clients for work completed/projected and items provided.
- Ensuring client accounts are paid on time to maintain healthy cash flow within the business.
- Manage the accounts payable operations, including purchase orders and bills, collate and submit invoices and staff expenses to be paid, and complete pre-approved credit card payments for bills where possible.
- Management and accountability for the productivity and support of the Administrative Assistant position and alternate bookings/client support team members.
- General office management to ensure that staff amenities (e.g., water, milk, coffee, tea, cutlery, crockery, etc.) are always fulfilled.
- Maintain office efficiency by maintaining the appearance of common areas, organising procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment.
- Provide direct administrative support as needed, including scheduling appointments, meetings, and events, booking travel, maintaining a filing system, mailing and shipping packages, and updating the contact database and employee list.
- Stock allocation and team organisation for pending projects.
- Implement established policies and procedures, measure outcomes against standards, and improve operational flow when identified.
- Coordinate internal and external resources and cultivate relationships with clients and vendors.
- Oversee office interactions, responding to requests and questions.
Skills and Qualifications
- 3+ years of office management experience.
- Strong skills in the Xero accounting software.
- Strong time-management and people skills, flexibility, and multitasking ability.
- Advanced computer skills and experience with online platforms.
- Proficiency in Microsoft Office, with an aptitude for learning new software and systems.

Remuneration
The Accounts & Administration Manager position attracts an annual salary between $70,000.00 and $85,000.00 (plus superannuation) based on the qualifications of the applicant.
