Viewbank College

With a student enrolment in excess of 1450, and located on 5.4 hectares in the City of Banyule, Viewbank College provides outstanding educational opportunities to families in Rosanna, Heidelberg, Viewbank and surrounding suburbs. The College is academically focused and has a high level of participation in other curriculum areas such as Music and the Visual & Performing Arts.

The College has developed a strong and tangible ethos based around hard work, respect for learning, the rights of others and the pursuit of success.  Through the very successful student leadership program, the house program and a series of large general assemblies, the College promotes involvement, student participation and service to others.  The College's sporting teams are regularly successful right through to the state level. The College production, the debating program, public speaking and the previously mentioned Music Program and the Social Action group are ways students can become involved and inspired.  

The College Curriculum is a standard academic curriculum with VET subjects offered off campus. The College offers German and Japanese through to Year 12 and Music Performance is a strong VCE subject. The Instrumental Music program has 300 active participants and the College employs 20 instrumental music teachers.  The College has a much sought after Enhanced Accelerated Program and a stratified Maths program at Year 10. The College is starting to pilot a modified VCAL program.

The College maintains buildings and facilities to a high standard with well - equipped classrooms and staff rooms, complete with data projector facilities. A 1:1 laptop program was introduced in 2015 and has been expanded to include all year levels.  Other valuable facilities include a well-resourced library and our new 420 seat Performing Arts Centre and STEAM Complex which opened in July 2018

Selection Criteria

Role

No Attendance Requirement for this position

An education support class position at this range will perform tasks that are carried out in accordance with guidelines, accepted practice, and school policy under supervision and direction. This may include coordination of other education support class staff within the work area or educational program.

An education support class position supports the educational services being provided to students but must not include duties of a teacher as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students can be required individually or in groups up to 4 in controlled circumstances and where the responsibility for students remains clearly with a teacher.

Certification and/or qualifications of up to three years can be required at this level (noting that Registered Nurse is not included at this level, the first level for which is Level 1 range 3).

A role at this range may include:

  • Specific support tasks to achieve outcomes. Typically, this will involve accountability for a single function, (e.g. ensuring data is properly maintained) or the co-ordination of a work area under the direction of the principal or a manager.
  • Assisting teachers, within an educational program, by undertaking specific support tasks or the coordination of the support function.
  • Supervised health and wellbeing support tasks, medical intervention support tasks, or other specialised student/teacher support roles (e.g. enrolled nurses performing the role as described in schedule 3). These roles require specific qualifications and/or training, including roles where further training must be undertaken from time to time. The role is for a specific purpose, for which there will be direct accountability as opposed to support roles that are carried out by a range of staff performing routine tasks under direction.
  • Technical tasks that require a sound knowledge of basic technical and/or scientific principles that are used to develop and adapt work methods and make judgements where there are clear guidelines and limited options. Routine technical support in libraries, science, and information technology would be typical examples.

An education support class position at this range commencing at the base will initially be limited to undertaking routine tasks that are carried out under close supervision and direction. Work that carries some degree of independence will generally involve a limited number of tasks performed on a regular basis where priorities are clear, procedures are well established, and direction is readily available. Subject to any specific qualification and/or training requirement, an education support class employee employed in this range may be progressively required to undertake coordination, specialised student/teacher support tasks, or technical tasks as experience in the role is gained.

Responsibilities

Family and sundry debtor payment contributions

Maintain family/sundry debtor financial records in CASES21/Compass

Raise parent payment contributions and sundry debtor transactions annually and as required through the year into CASES21/Compass

Process and maintain BPay, Compass payments, Direct Deposits, EFTPOS and cash transactions

Respond in a timely manner to all family payment enquiries

Manage and process CSEF applications and post newsfeeds on Compass providing information to families regarding the CSEF process

Process credit notes and refunds as required

Liaise with the Music Co-ordinator to ensure enrolment data and student music tuition contributions are accurately reflected in Compass/CASES21

Follow up any outstanding extra-curriculum contributions for current or exiting students

Liaise with the Timetabler and Leadership team regarding student subject selections/changes and update financial records accordingly

Ensure Building tax receipts/thank you letters are provided after contributions are processed

Excursions, camps and events 

Reconcile events and excursions after they are held, i.e. reverse charges for non-attendees or follow up with teacher organiser for non-paid and attended students

Collaborate with the Account Payable Officer to maintain profit and loss records for excursions, camps and school events

Fundraising ¿ liaise with fundraising groups and ensure all funds are banked promptly

Co-ordinate school events ¿ e.g. arrange buses, venue hire, catering; raise purchase orders, prepare Compass event posts

Liaise with Staff Association representative regarding end of term staff events

Reception/Administration

Meet/greet/provide advice to students/staff/visitors/suppliers, over the phone or in person

Distribute daily mail

Prepare fortnightly College Newsletter for publication to the College website, Compass and Teams

Assist with first aid when required

Compliance

Maintain confidentiality at all times in accordance with the Privacy Act

Adhere to relevant DE and school policies including Cash Handling Policy, Electronic Funds Management Policy, Refund Policy, Parent Payment Policy and Fundraising Policy, Visitor Policy etc

Technical 

Prepare reports, documents and presentations using Microsoft Office (Word, Excel, PowerPoint) Microsoft Teams, Compass, CASES21

Other duties as directed by the Principal.

Other Information

To meet the needs of the College, this is a full-time position.

Work hours are Monday to Friday 8:30 to 4:36pm (half hour unpaid lunch)
