Heat Exchangers WA (HEWA) is one of Australia’s largest and leading suppliers and service centres for heat exchange equipment, specialising in plate heat exchangers and cooling towers with a purpose-built facility in Perth, Western Australia. HEWA is undertaking an expansion of business and is seeking a highly dedicated Admin Manager/Executive Assistant to join the team.
The Admin Manager plays a crucial role in supporting the administrative and managerial functions of the company. Reporting directly to the Financial Manager, the Admin Manager oversees a wide range of tasks and responsibilities aimed at ensuring smooth operations and efficient support to the Management Team and various departments within the organisation.
The key duties and responsibilities include:
- Perform various administrative tasks including attending management and strata meetings, taking minutes, overseeing office projects, lead and support the Admin Team including providing coverage during absences to maintain continuity in administrative operations, and ensuring seamless workflow.
- Act as an assistant to the Management Team supporting Managing Director, Chief Executive Officer, General Manager and Operation Manager/Supervisor, managing calendars, and handling ad-hoc tasks as required.
- Act as a Personal Assistant to the Managing Director, facilitating appointments, travel bookings, event registrations, and managing various personal matters.
- Manage human resources-related tasks such as contract drafting, policy management, HR & payroll related correspondence, and liaison with the third-party HR consultancy firms.
- Handle migration-related tasks including liaising with migration agents and preparing necessary documents for visa sponsorship projects.
- Assist in marketing tasks, collaborating on design/promotional materials with Marketing department, obtaining quotations, placing orders, and managing marketing materials.
- Supervise and manage the cleaning contractor, ensuring proper cleaning arrangements, maintaining, and managing cleaning supplies.
- Administer the company's key cabinet, including managing and maintaining company keys and coordinating with locksmiths when necessary.
- Manage phone systems including liaising with the third-party contractors, updating contact directories, and overseeing existing projects such as virtual reception or Interactive Voice Recording (IVR).
- Oversee mobile device management including setting up work phone, allocation, troubleshooting, and organise repairs.
- Handle IT and MYOB associated tasks including setting up laptops, troubleshooting, contacting IT and MYOB support, monitoring support tickets, and managing software updates.
- Manage CCTV/security alarm systems, office printers, and organise office maintenance and repairs including air conditioning services.
- Fulfill other duties as required by management and other department personnel.
Experience:
- Minimum 5 years of experience in an Administration and Support or similar role.
- Basic knowledge of IT or relevant experience is preferable.
