HEH Civil is a growing company providing a diverse range of civil construction services to local councils and state government clients in Far North Queensland and South East Queensland. HEH is currently looking for a Admin Officer Workshop to join our team in Mareeba /Cairns FNQ to assist us through our growth.
The Administration Officer is to perform administration functions and support the Workshop Manager, Financial Manager, Financial Officer & other Managers as Required. Duties in order of priority.
- Pre-start checks & Follow ups / Monitor vehicles/machinery for servicing intervals
- Weekly report on machinery repairs & maintenance to all Project Managers & Supervisors
- Workbench: New Equipment Records / Upvise maintenance
- Workbench: Entering workshop timesheets each Wednesday morning for weekly pay run.
- My CAT / VisionLink check Cat Reports on machinery Parts ordering where necessary / UD & Komatsu monitoring & utilization
- Creation and upkeep of small plant and tool register – Monthly site Visits
- Upkeep of oil and grease logs
- HSEQ Inspections – Mareeba Workshop
- Monitor & arrange Qld transport vehicle inspections
- Test & Tag / Workshop & Sites 3 monthly
General Duties as required:
- General filing
- Reception / phone duties
- Workshop invoice and purchase order reconciliation (Workbench)
- Fuel docket reconciliation / Monthly (Workbench)
- Workshop checklist / Job cards Enter into Upvise & file
- Assist in Accounts – collating invoices and supporting paperwork,
- Other Administrative duties as directed by the Managers
- Assist Workshop Manager in prioritising Works to be done on machinery/vehicles
- Assist Workshop Manager in Workshop Management Processes
- Maintain Safety Registers, update when required

- When using a company vehicle, comply with vehicle procedure, a current driver’s licence must be maintained during your employment and all incidents, near misses and NCRs are to be reported.
Key Performance Indicators (KPI)
- Provide administrative support to the Workshop Manager
- Prestart forms checked daily and reported on weekly
- Tools registers are kept up to date and Site Audits conducted monthly
Qualifications and Education Requirements
Minimum Requirements for a person to be appointed to the role of Administration Assistant are;
- Queensland Drivers Licence
- White / Blue Card
- HEH Company Induction and internal training
