The Opportunity
We’re looking for an experienced Admin & Operations Coordinator to seamlessly coordinate the day-to-day operations of the business, with a main focus on daily rostering and coordination of staff on these amazing projects.
This is a diverse and fast paced role and your flexible approach is required in order to take responsibility for the overall rostering of the business, plus general operational, admin and office tasks including client liaison and job coordination, project inductions, recruitment, onboarding, staff training and maintaining the workplace environment.
You'll be a highly organised and proactive individual who is a good problem solver, shows initiative and has attention to detail. You’ll also be a quick thinker and an amazing multi-tasker, who will give our team the confidence that you're on top of the day to day without a hitch.
The Role
Your responsibilities will include:
- Manage daily staff allocations, rostering and publishing shifts
- Coordinate project and staff induction bookings and requirements
- Manage the workforce management system
- Manage daily timesheet approvals and reports to payroll
- Manage the recruitment process, staff onboarding/offboarding
- Coordinate project/job requirements with staff and clients
- Prepare project safety documents and other project admin
- Coordinate company training and presentations
- Create and prepare documents and presentations for the office team
- Maintain database/spreadsheets for all projects and office
- Manage distribution of staff uniforms, PPE and cleaning kits
- Maintain office environment & equipment, meeting set-up, kitchen, office cleanliness etc
- Coordinate and take minutes of team meetings and distribute actions
- Answering office phone, directing calls, greeting visitors, receiving deliveries
- Maintain staff records and data on various systems
- Implement initiatives and processes to improve workflows and efficiencies
- General administration and office team support
About You
To be successful in this role, you will have;
- 2-3 years’ experience in a similar role within the construction industry
- Excellent English skills - written & verbal
- Strong IT skills in Microsoft Office 365
- Grasps new systems easily and is able to create and work within processes
- Takes ownership of tasks and is proactive & deadline-driven
- Attention to detail and accuracy in work
- Able to multi-task, problem-solve &
- Able to communicate clearly with people from diverse backgrounds
- Flexible approach and a quick learner
- Works well under pressure and can handle a changing workload
- Has a team attitude and always willing to help out
- Self-motivated, committed, honest and friendly
