About this Role: 

The primary responsibility for this role is to create and maintain the master roster that compliments business needs and involves rostering staff to deliver work on time and in line with SCHADS award and participants plan. 

In addition to rostering responsibilities in this position you’ll provide quality administrative services to support the effective and efficient operation of the business including the day-to-day operations across multiple departments.

Key Responsibilities:

  • Assist in creating and managing roster templates and schedules to ensure clients and support workers have rosters four weeks in advance of service delivery.
  • Ensure rosters comply with Award provisions, there is fair distribution of available shifts and provide for the welfare and wellbeing of staff.
  • Ensure that vacant shifts are filled in a timely manner and in such a way as to ensure minimum disruption to participants and ensure maximum cost effectiveness to the organisation.
  • Ensure the fair and equitable distribution of shifts, adhering to the restrictions on active hours and the minimum rest periods as detailed in the Award.
  • Respond to and appropriately manage employee queries regarding their leave requests.
  • Contact available support workers to fill unplanned vacant shifts (i.e. sick leave) to ensure continuity of support. 
  • Build good rapport with participants to ensure good communication about changes in shifts or support workers as required. 
  • Contact participants to ensure supports needs and preferences are met.
  • Work within the rostering guidelines driving continuous improvement.
  • Assist in identifying reasons where rosters do not reach the desired standard, advising your reports of issues and recommendations for improvement.
  • Participate in the shared responsibilities of the on-call after hours team. 
  • Coordinate the rostering of new employees to ensure that they undertake on-site induction training in a timely, efficient and cost-effective manner. 
  • Ensure support staff are adequately provided information pertaining to the relevant support needs of the participant. 
  • Screen calls and route them to the appropriate department or personnel.
  • Handle high volumes of calls during peak times with composure and efficiency.
  • Manage complaints and challenging calls with patience, empathy, and strong problem-solving abilities.
  • Assist in identifying and resolve issues efficiently, providing solutions over the phone within your scope of knowledge. 
  • Assists the People & Culture team by managing and organizing compliance documentation, ensuring all required forms and records are completed and up to date.
  • Facilitates the onboarding process for new employees, including coordinating training sessions, and helping new hires integrate smoothly into the company culture.
  • Escalate complex problems to the appropriate department to address

Key Selection Criteria:

  • Demonstrated experience in a rostering/ scheduling role. 
  • Demonstrated knowledge or experience in understanding the needs of participants with lived experience in disability, their families and carers and advocates.
  • Well-developed written and verbal communication skills with the ability to share knowledge and information 
  • Well-developed problem-solving skills
  • Exhibits meticulous attention to detail.

  • be an Australian Citizen, Permanent Resident or hold a valid work permit or visa necessary for the nature of the position.
  • have or be able to obtain all relevant clearances such a NDIS Screening Clearance, Working with Children Check Clearance etc.
