As the business has been growing, we are looking for an intelligent and diligent mindset to assist us in doing our jobs even better. The essentials of the role are:
Duties and Responsibilities
Providing marketing & administrative support to the team and customers which may include:
- Assist in preparing accurate and flawless visa and allied applications.
- Assist in sharing document checklists, collating documents, and ensuring the quality of documents is up to standards as mutually agreed with the Supervisor
- Preparing submissions to support the different stages of the visa process
- Monitor procedures and take initiatives to improve performance in administrative and workflow processes in conjunction with customer service and system requirements
- Support the team by transferring knowledge and mentoring others as appropriate
- Being a point of contact for staff and external stakeholders
- Deliver quality information and services face-to-face, telephone and via email to both staff and external customers, while maintaining a polite, consistent manner
- Provide support with accurate and timely responses to requests for information both written and verbal.
- Any other administrative duties as directed by the Supervisor
Required Skills
- Strong customer service focus and commitment to providing quality customer service with demonstrated ability to relate to people from various backgrounds
- Communication and Interpersonal skills characterised by patience, clarity and empathy at a personal, written and telephone level
- Ability to use tact, diplomacy and negotiating skills when handling difficult customers to achieve a positive outcome
- Ability to develop and maintain positive working relationships with staff from other departments and work in conjunction with them to ensure smooth operation of customer service and administration processes
- Ability to prepare draft letters, prepare applications, write effective submissions to support applications
- Organisation and time management skills to organise own work and work of others, to establish priorities and meet deadlines
- Ability to maintain confidentiality at all times.
- Ability to work in an area with changing and sometimes conflicting priorities
- Ability to maintain productive and efficient output in a busy work environment
- Good listening skills and the ability to work under pressure
- Numeracy skills, attention to detail and keyboard skills including good command of MS Office suite or any other software / product / application required for efficient work delivery
- Assist with staff training if required.
Remuneration
To be discussed at the time of the interview. Will depend on your skills and experience.
Job role Type:
Full Time: 38 hours a week, based in our office at the Brisbane Technology Park in Eight Mile Plains. Our office boasts amazing space for work with parking and well-equipped kitchenette.
