POSITION TITLE: ACCOUNTS AND ADMINISTRATION OFFICER
Innisfail Youth and Family Care Inc
Part-Time – 9am-3pm each day (5.5hours/day)+(half hour for lunch)
AWARD: Social, Community, Home Care and Disability Services Industry Award 2010
Level 3 – $36.00/hour (permanent rate)
ACCOUNTABILITY: The Administration Assistant is employed by Innisfail Youth and Family Care Inc and is accountable to the CEO who is the immediate supervisor.
LOCATION: 34 Cassowary Street, Innisfail, Qld 4860
OVERVIEW: We are seeking a dedicated and detail-oriented person to join our team as an Accounts Payable/Accounts Receivable and Administration officer within our not-for-profit organisation.
This position is essential in supporting our Finance Officer and ensuring the accurate and efficient processing of financial transactions related to both Accounts Payable and receivables.
ACCOUNTS AND ADMINISTRATION OFFICER POSITION DUTIES
1. ACCOUNTS PAYABLE:
• Receive, review, and process invoices from vendors, ensuring accuracy and adherence to organizational policies and procedures.
• Code invoices with appropriate expense accounts and program codes.
• Prepare and process payments for approval and payment.
• Assist in the preparation of financial reports and analysis related to Accounts Payable.
2. ACCOUNTS RECEIVABLE:
• Record, receipt and reconcile incoming payments, including rents, donations, grants, and other income.
• Follow up on outstanding receivables.
• Process and acknowledge donations according to organizational guidelines.
• Assist in the preparation of financial statements and reports related to accounts receivable.
3. ADMINISTRATION:
• Answer telephone inquiries and provide information to callers if required about other appropriate services of the organisation. Collect statistical data on phone calls. Take messages for the CEO and other staff.
• Attend to any administration as directed by the CEO. This includes filing, petty cash, banking, etc
• Understand the issues facing young homeless people and why young people become homeless. Have compassion, understanding and patience when dealing with young people and other clients.
• Take minutes of meetings when required.
• Prepare documentation for audit purposes and Annual General Meetings.
4. EXPERIENCE:
• Previous experience in finance role or Accounts Payable role preferred but not essential.
• Familiarity with accounting software systems, preferably XERO or MYOB
• Strong attention to detail and accuracy in data entry and record-keeping.
• Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues, clients and suppliers.
• Knowledge of not-for-profit accounting principles and regulations preferred but not essential.
• Ability to work effectively in a team environment and collaborate across departments.
• Commitment to the mission and values of the organization.
5. WORKING CONDITIONS:
This position operates in an office environment, typically during regular business hours. This will not be a remote or work from home role.
• Some flexibility in work hours may be negotiated.
• Flexibility may also be required to meet deadlines.

3. Commission for Children and Young People and Child Guardian Working with Children Blue Card (This will be organized by the organization for the successful applicant.)
KEY SELECTION CRITERIA
1. Demonstrated ability to work unsupervised, accept supervision and advice and implement results of discussions with the Manager.
2. Demonstrated organization and time management skills.
3. Developed interpersonal and communication skills and demonstrated ability to liaise verbally and in writing with businesses, community groups and government departments.
4. Thorough knowledge and ability to use XERO and MYOB software.
5. Demonstrated ability in the use of computers and computer software in particular; Microsoft Word, Microsoft Excel, Internet and E-mail.
6. Integrity and ethical behavior are paramount, especially when handling financial transactions and sensitive information. Demonstrated commitment to upholding ethical standards and having an understanding of confidentiality of clients and the organization.
