Primary Responsibilities of this position:
Provides a comprehensive and effective customer focused administrative, clerical and reception support service to the centre, community partners, the committee, volunteers and families utilising the Centre.
Liaises with and assists the Centre Manager with the budget, monthly and end of year financial reporting requirements and Centre’s Business plan.
Supports services to the Centre Manager and if required Board of Management.
Builds and maintains positive and collaborative communication and working relationships with various internal and external stakeholders such as local government authorities, government agencies, community groups, other not-for-profit organisations, local schools, business, suppliers and the community in general.
Coordinates internal staff communications and ensures appropriate information flow to staff from the Committee.
Prepares and/or arranges for information to be prepared and published using, social media, web site and publications.
Receives and processes all incoming and outgoing correspondence, actions the more complex matters and drafts responses where appropriate.
Maintains an effective correspondence filing system ensuring all corporate information and records relating to specific Centre matters are updated and maintained on a regular basis to ensure information is current.
Arranges internal and external meetings/forums including venue and room bookings, equipment access and catering if applicable.
Provides a range of support services and ensures the Centre is meeting its obligations.
Undertakes additional responsibilities as and when required.
Position is for 15 hours a week, with potential for more hours.
Experience working in an administrative and/or clerical support environment within a community development and/or community centre.
Sound verbal, written and interpersonal communication skills, including the ability to liaise and engage with a range of internal and external stakeholders.
Ability to plan, organise and prioritise workloads in order to meet agreed timeframes.
Ability to undertake minor research projects.
Proven ability to work in a team environment and contribute to the achievement of team goals.
Knowledge of MYOB is desirable.
