The Opportunity
We have an exciting opportunity for an Administration Assistant at our Canning Vale office in a part-time job share position or full time. Reporting directly to the Finance and Administration Manager, in conjunction with other administration and finance team members, you will be responsible for a variety of tasks.
The Role
- Act as front of house, answering calls and greeting clients with a friendly, personable demeanour.
- Monitor and maintain stationery and office supplies.
- General office administration duties.
- Manage new supplier account applications.
- Assist with client/supplier queries.
- Assist with mobilisations when required – previous experience preferred, however not necessary.
- Management of employee uniforms.
- Employee inductions and onboarding.
- Liaise with Department of Training & Workforce Development to onboard new Apprentices.
- Manage insurance claims and related enquiries.
- Maintain insurance policies and liaise with providers for annual renewals.
- Coordinate purchase orders submission and processing.
- Support Estimator with pre-qualification questionnaires.
- Assist in meetings as required with refreshments and note taking.
- Assist Project Managers and Directors with administrative duties.
The Candidate
- Excellent communications skills with the ability to effectively connect with staff, suppliers, and clients.
- Have an eye for detail and delivering high quality work. Follow-up and follow-through are key.
- Be appropriately presentable for front of house liaison.
- Minimum 3 years Office Administration experience.
- Intermediate level skills with MS Excel, Word and Outlook and other MS applications.
- Demonstrated experience in SIMPRO would be advantageous.
- Permanent residency or Australian Citizenship required.
