Administration Assistant /Reception (Real Estate

We’re hiring a motivated Real Estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our Real Estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. You’ll also support the team by marketing the company on social media and planning company events. The ideal candidate should be a great communicator who is driven and highly detail-oriented. Working within a supportive team environment, learning directly from the experienced team with a strong focus on administration duties experience for this role is desirable but not essential.

Key responsibilities of this role include:

  • Database and CRM management
  • Following compliance procedures
  • Coordinating client bookings, team calendars and meetings
  • Consistently demonstrate a learning and growth mindset
  • Client relationships and management
  • Social media content preparation
  • Managing and preparing marketing campaigns for residential and project listings
  • Coordinating bank valuations, building inspections and EER inspections (when required)
  • Monitor deadlines and provide notices to appropriate parties when necessary
  • Schedule necessary appointments with all parties, including open houses and the final walkthrough
  • Help organize community outreach events to improve our standing in the local area
  • Produce all marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our brand
  • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
  • Deliver concierge-level customer service to sellers, buyers, and lenders to improve customer satisfaction ratings
  • Participate in training sessions to improve skills with administrative tasks in the Real Estate industry


The successful candidate will demonstrate:

  • High level of self-discipline and self-motivation
  • Strong administrative skills and computer literacy
  • Excellent verbal and written communication
  • Immaculate personal presentation
  • High attention to detail
  • Proficiency in Microsoft word and excel spreadsheets, along with the ability to learn technical proficiency in various software systems
  • Current  Driver’s License and suitable vehicle
  • Positive mindset, target driven, well-organised nature
  • Strong communication skills and relationship building skills
  • To ensure daily tasks are achieved

Note: Experience within the industry would be highly advantageous however not necessary as this opportunity can be taken as a chance for the right candidate to learn and grow!
