Administration Assistant - Specialist Clinic

1 x Part Time (0.8 FTE) Role

1 x Casual Role

The Role: 

  • Front Reception – check in patients for their appointments ensuring all details are correct and amending as necessary. 
  • Check out patients at completion of appointments, attending to further appointments and billing as necessary.  Billing process to be completed in a timely manner.
  • Attend to telephone calls in a timely, proficient and friendly manner.  Use a polite and professional telephone manner ensuring processes are followed.  Attending to and following up inquiries in an efficient manner.
  • Scheduling of appointments according to relevant schedules, as required.
  • Ensure all relevant documentation related to patients is completed in an efficient and timely manner.   Set up billing accounts and ensure referrals are valid and activated.
  • Provide timely and accurate information in response to queries by patients, visitors and other stake holders.

To be successful in this role, you will have:

  • Proven interpersonal and time management skills
  • The ability to communicate with a multidisciplinary team
  • The ability to offer exceptional customer service at all times
  • Previous health or medical services experience, and an intermediate level of computer skills within the Microsoft suite is essential.
  • Previous experience in a medical administrative or reception role is desirable, along with a Certificate in Medical Terminology. 
  • Experience in hospital mainframe systems, patient management and clinical systems and medical software packages (Medical Director Clinical and BlueChip) would be advantageous.
