POP Psychology is a dynamic and rapidly expanding private psychology practice with 2 inner city practices located in Red Hill and Morningside, Brisbane. We are currently seeking an experienced administrative assistant to join our team on a permanent casual basis. Initially starting with 1 shift per week (3-5 hours duration) and increasing from July/August in order to meet the growing needs of the business and cover annual leave.
The successful applicant will be required to work across both practice locations with an immediate start available.
Position Details:
- Role: Permanent Casual (Minimum 3 hours per week to start and the opportunity to increase this for the right person + availability to cover annual leave )
- Start Date: ASAP
Qualifications and Skills Required:
- Ability to take instruction, prioritise tasks, and work autonomously
- Microsoft Office skills (Word, Excel, PowerPoint and Outlook), intermediate level
- Excellent verbal and written communication skills
- High degree of organisation, along with strong problem solving and multi-tasking abilities
- Diary management skills
- Experience and understanding of Medicare and HICAPS highly regarded
- Positive work history is required with at least 2 employment references
Key Tasks & responsibilities include:
- Ensuring a professional and inviting atmosphere for all visitors and patients
- Greet clients and provide refreshments, book follow up appointments
- Process client payments using HICAPS/Power Diary systems
- Generate client invoices, reconcile online payments and follow up unpaid invoices
- Serving as the primary contact for patients, both in-person and through various communication channels
- Respond to phone calls, emails and text messages for existing clients and new enquiries
- Data entry
- Handling appointment scheduling, inquiries, referrals, and documentation
- Diary management and Coordinating schedules across multiple practitioners and locations; including booking and rescheduling appointments, and opening and closing client files
- Word processing, including correspondence and clinical resources (at the direction of Practice Manager)
- Upholding patient confidentiality and privacy standards
- Collaborating with external stakeholders and therapists on administrative needs
- Support the Practice Manager and Clinic Director with other administrative tasks to support the running of the practice
