We are a fantastic team of Allied Health Practitioners and Support staff, we are great at what we do, and our Reception and Administration team are a critical part to our success. 

Position: Part time admin-assistant x 2

Location: Back in Motion Melton & Bacchus Marsh

The role: 

A fun, welcoming, friendly personality, who can work under pressure in a team environment and maintain professionalism is required. Multi-tasking and flexibility are a big part of this role. You must love being part of a great team. 

The administrative roles are very important, but equal to this is the client interaction and exceptional hospitality skills face to face & over the phone is required to successfully create rapport and an enjoyable customer experience. 

We are looking for a permanent part time admin superstar to provide stellar support and a great front-of-house experience for our clients. 

This position is a combined role where you would be required to do front desk reception and answer high number of inbound/outbound calls for intake & manage accounts across both Melton & Bacchus Marsh clinics. (You need to be good with technology)

These positions can be considered for right candidates with minimal of 64hrs fortnightly. 2 mornings, 2 evenings & alternate Saturdays with the availability to work during the clinic operating hours. The rostered hours will be between 7.30am – 8.30pm from Monday to Friday and 8.00am-2.00pm on Saturdays.

A successful candidate will show a strong aptitude with technology and a willingness to master new skills. 

Role Overview: 

  • Build and maintain productive working relationships with our clients. 
  • Take responsibility for the accuracy and completeness of client records and the management and maintenance of client information in our core business systems. 
  • Identify opportunities to improve workflow processes and internal systems to support on-going improvement of our client service and delivery.
  • Proactive communication with clients via phone, email and face to face to obtain information
  • Diary management including scheduling appointments 
  • Processing of payments and invoices
  • Building an excellent working relationship with our physiotherapists 
  • Receptive to feedback 
  • Flexibility to travel between clinics if required 
  • Ensuring the centre is kept well-presented and kept clean, tidy and safe

About You:

To be successful in this role, the following skills/ experience is a must:

  • Energetic, vibrant and positive with a “can do” attitude.
  • Has switchboard experience, handing administrative tasks, taking phone calls, transferring calls, providing information updating records and answering client inquiries 
  • Confident to contact 3rd parties to obtain information when required
  • Maintain accurate and complete client data
  • Ability to keep track of client’s outstanding debt accounts, contacting third party payees to learn more about their payments 
  • Computer and technology literacy skills
  • A passion to see clients empowered to achieve optimal lifelong physical health
  • Outstanding communication skills both in person and over the phone and with a variety of different people and personalities
  • Ability to quickly learn new software, packages and processes
  • Ability to maintain a positive and energetic vibe amongst our team and with clients whilst simultaneously managing day-to-day tasks
